The Organized Crime Task Force (OCTF) of the New York State Office of the Attorney General is seeking an experienced professional to serve as Office Manager, providing exceptional support to OCTF offices around the state. The Office Manager will work closely with a team of Assistant Deputy Attorneys General, investigators and other non-legal staff to investigate and prosecute organized crime cases in New York State. The Office Manager will report to the Deputy Attorney General in Charge of OCTF. The position is located in White Plains.

The Office Managers duties will include but will not be limited to the following:

  • Working cooperatively and collaboratively to support attorneys, analysts, investigators and other administrative personnel with administrative tasks and projects;
  • Managing the day-to-day functioning of the White Plains office, as well as assisting OCTF’s offices in Albany, Buffalo and Syracuse;
  • Regularly handling confidential material and information and exercising discretion in doing so, from distribution of correspondence/mail to preparing documents for review and signature;
  • Acting as a liaison between support staff and management, as well as communicating with other Units, offices, agencies and vendors, including building complaints;
  • Supervising and training support staff;
  • Answering main office phones in a respectful and professional manner, greeting and directing visitors courteously and professionally;
  • Ordering office supplies; maintaining and troubleshooting office equipment, overseeing vendor accounts, arranging for court reporters;
  • Scheduling office meetings and appointments, planning and scheduling training;
  • Making travel arrangements for witnesses OCTF staff and and assisting in the completion of expense reports;
  • Maintaining office records, including maintaining files, data entry; and
  • Document management, photocopying, scanning and shipping.

The ideal candidate is someone who operates at all times with discretion and independence, readily assimilates new information, has excellent communication skills, manages a variety of priority assignments effectively and thrives in a dynamic work environment. Additionally, the individual selected for the Office Manager position must have excellent organizational, time management, and multitasking skills. Prior experience as an administrative assistant or office manager, responsible for clerical and administrative duties is preferred.

Proficiency in Microsoft Office is a must, as is the ability to learn and master new computer/software programs. Candidates should have a strong interest in law enforcement and criminal investigations and an eagerness to contribute to the direction and success of OCTF’s cases. Prior legal office experience, as well as knowledge of legal document preparation and filings are preferred qualifications.
