WHAT'S NEW!
Transfer of Student Records*
Please note: Releasing a student’s electronic record in Infinite Campus does not fulfill the obligation to send the student’s physical cumulative record when requested. You must send the student’s physical record in addition to releasing the record in Infinite Campus.
According to the State Archives’ K–12 Records Retention and Disposition Schedule:
“For students who transfer to another school, transfer the student’s cumulative record to the school receiving the transfer. Destroy the original school’s cumulative record for that student upon confirmation of the record’s receipt.”
Additionally, per the North Carolina Records Retention and Disposition Schedule, SIS data alone does not constitute a sufficient permanent record. Public School Units (PSUs) are required to maintain analog cumulative records to ensure proper and permanent preservation.
Reminder from the SASA (School Attendance and Student Accounting Manual) and G.S. 115C-403:
"When any child transfers from one school system to another school system, the receiving school shall, within 30 days of the child's enrollment, obtain the child's record from the school from which the child is transferring.[…]Upon receipt of a request, the principal or the principal's designee of the school from which the child is transferring shall not withhold the record or verification for any reason, except as is authorized under the Family Educational Rights and Privacy Act."

Attendance Aggregation Preferences - Action Needed*
The Chronic Absenteeism Information on the Student’s Attendance tab will not display attendance as expected if the Attendance Aggregation Preferences are not set correctly.
Path: Attendance Office > Settings > Attendance Aggregation Preferences
Please verify that the Summary View field is set to v_AttDaySummary_Approx in order for the Chronic Absenteeism Information on the Attendance Screen for a student to be displayed correctly.

REMINDERS:
Temporary Procedure for Graduation Requirement Override
Infinite Campus is currently developing official functionality to support graduation requirement overrides. Until that process is fully implemented, PSUs should follow the interim guidance outlined below to ensure all override actions are consistently and accurately documented in student records.
Interim Override Instructions (Applicable to Any Course)
For any course requiring a graduation requirement override:
- Go to the Transcript tool and locate the applicable course in the student’s grade record.
- Enter a comment that includes the following:
- The word "override"
- The course number being overridden (e.g., “override – Course #XXXX”)
It is strongly recommended to include a brief explanation or justification. Example: “Override for Health/PE #60492X0. Verified HEA 110 curriculum meets NC graduation requirements.”
Important Note About Comment Formatting
It is very important that staff enter the comment exactly as described above—including the word “override” followed by the course number—so that we can accurately identify these records later.
If your PSU has already entered override comments in a different format, please review and update those records to align with the required structure outlined above. This will ensure consistency and allow those entries to be correctly identified during the automated update process.
When the new override process is officially implemented in Infinite Campus, NCDPI will run a script to automatically update override entries that use this formatting. Using the correct format now is critical to ensure that the process runs smoothly and reliably.
Action Required
Please share this guidance with all staff responsible for transcript management and ensure it is applied consistently for any graduation requirement override.
Also, take time to review and update any previously entered overrides to match the formatting guidance above.

Teacher Roles in Section Staff History
New roles have been added to the teacher Role dropdown in the Staff History Detail window of the Section Staff History tool for scheduling and state/federal reporting purposes.
Only the newly added Teacher of Record (TOR) and the Secondary Lead Teacher (SLT) roles will be used in the lead teacher calculations of the Legislative Class Size (LCS) Report for the 25-26 school year.
If a role is not assigned to teachers in a section, the Primary Teacher without a role automatically defaults as the Primary or Lead Teacher on the section. A role is not required for Section Staff History unless an additional teacher also needs to be considered a lead teacher for LCS purposes.
If no primary teacher exists, then staff added as a Teacher or as Section Staff will be considered as the lead teacher only if they have a role of Teacher of Record(TOR) or Secondary Lead Teacher(SLT).
Multiple lead teachers can be represented in the LCS by having a primary teacher and staff attached to the teacher or section staff area. The staff attached to the teacher or section staff area must have the role of Teacher of Record (TOR) or Secondary Lead Teacher (SLT) in order to be considered as a lead teacher.

Phase II Implementation Dashboard
Reminder for Phase II SIS Coordinators Only:
- Please update your progress on tasks weekly in the Go-Live Checklist.
- If you select “Need Support” for any task, also notify your assigned SIS PL consultant.
- Once support has been provided, remember to update the task status.
- Regularly reviewing and updating your PSU’s checklist is strongly encouraged to stay on track for Go-Live.

CTE Updates
Important:
At this time, schools should not complete any steps related to concentrator calculation or run CTE reports.
Please do not:
- Assign CTE Academic Programs (last year’s programs remain and have not been updated for 25–26)
- Update Student Status
- Run or use the NC CTE Extract Report
Further guidance will be shared once the updates are in place. Until then, no action should be taken on concentrator status in Infinite Campus.

SIS EOY Timeline SY 24-25
The Phase II timeline includes the status of key tasks and identifies items that will be added by NCDPI after End-of-Year (EOY) processing is complete. While these tasks apply to Phase II PSUs, Phase I PSUs may also view this information for awareness.

NCSIS Resources
PSUs have access to the Campus Community, where they can acquire product knowledge, glean tips and tricks, and engage in networking opportunities with other districts. The Campus Community offers convenient single sign-on access from the Campus system to a wealth of resources, including the knowledge base, forum discussions, learning tools, support site, upcoming events, and more.
Campus Community- contains the information you need to learn how to use Infinite Campus through product documentation, videos & simulations, study guides, forums, and much more. Whether you are a teacher, data manager, or Infinite Campus user, you will find the learning resources in a clearly defined pathway for a seamless transition from PowerSchool.
Campus Passport- is on-demand, self-paced courses that can be assigned to new and existing staff. Accessed through the Campus Community, you will find Instructor-Led Training, specific E-Learning courses, or select a learning plan based on your district role.
KnowledgeOwl: KnowledgeOwl will include articles (QRDs) that are created and updated by the SIS Professional Learning team.
