Home Base Maintenance Window - November 2023

The next Home Base maintenance weekend is set to begin Friday, November 17th at 5 p.m.  The PowerSchool system is the only application that will be taken offline for service.

 

PowerSchool will be down Friday, November 17th at 5 p.m. with an anticipated return of Saturday, November 18th, no later than 10 a.m. The application will be made accessible to all users once the maintenance is complete.  

 

Note:  Each year, a list of scheduled maintenance windows is published by NCDPI.  This is published in advance to help teachers and administrators better prepare for temporary outages and loss of access.  Please review the 2023-2024 maintenance schedule and put these dates on your calendar. In most cases, the entire window is not necessary and we can return systems to service earlier than listed. If emergency maintenance is required in addition to these scheduled dates, all users will be notified in advance.

Fall LCS Report - Salary File

An issue with the data load in PowerSchool was identified for the Fall LCS report. The file was loaded to the teacher tables for the Fall LCS report but a column was incorrect This was causing teacher and salary data in the Fall LCS report to be incorrect. A script has been run to correct the issue, and the table now has the correct data. 

 

Please re-run the Fall LCS report (LEAs only, charters are exempt) and revalidate your data.

 

If teachers are still missing Funding Type or FTE please verify the teachers status as of October 31, 2023 with your payroll dept. Staff must have be in active teacher pay status (not sub pay or TA status) as of Oct 31.

 

If LEAs are experiencing technical issues with the report and data in PowerSchool please submit a case to PowerSchool Support.

 

LCS reminders:

  • NCDPI Student Accounting team is the DPI contact for LCS report policy questions studentaccounting@dpi.nc.gov
    • The Class Size Waiver and Affidavit can be found on the following site https://www.dpi.nc.gov/districts-schools/district-operations/financial-and-business-services/student-accounting#Forms-1395
    • Charters are not required to run and submit the LCS report
    • Data snapshot date of Oct 31 - This applies to enrollments/courses/teachers/sections
    • When a class contains a combination of grades of more than one grade, the maximum class size is determined by the grade span classification of the students constituting the majority in the class
    • The same expression and same lead teacher are considered as a combo class
    • Teachers of combination classes will be counted one time
    • There are no legislated maximums for class size in grades 4-12 - this data on the report is informational only 
    • LCS is based on General Statute § 115C-301 Allocation of teachers; class size
    • The LCS AVERAGE reports should exclude sections that are coded with the following special programs:
      • NC-Dual Language Immersion
      • NC-Instructional Pull-Out
    • LEA wide class size maximum average:
      • Grade K - 18
      • Grade 1 - 16
      • Grade 2 - 17
      • Grade 3 - 17
      • Individual class size maximum: School Level
      • Grade K - 21
      • Grade 1 - 19
      • Grade 2 - 20
      • Grade 3 - 20

 


December Digital Leaders Exchange

December Digital Leaders Exchange - Registration NOW OPEN!

Registration NOW OPEN! Think Home Base Meetups meets Regional Technology Directors Meetings! The NC Digital Leaders Exchange (formerly Home Base Meetups) is coming to a location near you soon! Each event will run from the West to the East while also aligning each “exchange” with a part of the Digital Learning Plan. In December, we will be highlighting Curriculum, Instruction, and Assessment along with the typical offerings of Home Base product update sessions. Stay tuned for further information!

NCSIS Update

The North Carolina State Board of Education voted to award a new contract to Infinite Campus to modernize the North Carolina Student Information System (NCSIS), in compliance with state law. The North Carolina Department of Public Instruction is now working to finalize a thorough implementation plan that we expect to share with you within the next few weeks.  We are committed to frequent, clear communication throughout the implementation process, and we have set up a webpage to house the most up-to-date information about NCSIS. We hope you will take some time to visit the NCSIS webpage and learn more about the modernized system and the expanded offerings it will provide to better serve the students and educators of North Carolina.

SIS 2023 Conference Presentations in Canvas

The SIS 2023 Conference presentations have been added to the Canvas PowerSchool SIS Admins course.  They can be accessed by clicking the SIS Conference icon on the Home page of the course.

Student Contact Transfers

Student Contact Transfers

After further investigation and discussion with PowerSchool support, NCDPI has determined the optional function for a PSU to choose whether Student Contacts transfer or not is still broken. NCDPI is continuing to test this functionality and work with the vendor on a resolution.


X and Y Course Code Needs

Proper Course Code Usage - Middle School and High School

 

PSUs need to ensure that students enrolled in middle school courses that count toward a high school graduation requirement must have a "Y" in the course code not an "X" in the sixth digit. The "Y" in the sixth digit signifies the course is offered in middle school and is the proper code to use. Middle school courses that count toward a high school graduation requirement per SBE policy, CCRE-001, do not count in class rank or GPA.

 

The NCDPI Course Code Committee, which comprises staff from across the agency, has developed a comprehensive resource for the field, NCDPI Course Code Manual. This manual, loaded with detailed course information, combines the Course Code Guidance document with many of the other available resources regarding course codes.

CRDC

CRDC Canvas Course Now Available

There is now a CRDC Course available through NCDPI Canvas. This course contains modules that cover the NCDPI/PSU collaboration for this collection, where to find resources, and information about the new NCDPI submission views and the CRDC SQL reports that will be deployed to PowerSchool.


Included in the course are instructions for accessing the NCDPI Submission Views, a workbook of what NCDPI will submit and the SY2021-2022 CRDC Course list. Additionally, there is a page of quick links within the course to support schools and PSUs in North Carolina in the accurate reporting of OCR data.

Action Items for PSUs

 

1. Download and begin reviewing the updated required documents for CRDC Coordinators, which include:
· LEA Form
· School Form
These forms contain the complete set of survey questions that the LEA must complete for itself and its school(s).

 

2. Begin gathering data not collected by NCDPI
Use the Canvas link to access the document ‘CRDC 2021-2022 Collection by Entity’, located within the ‘Data not Accessible to NCDPI’ section.

 


SparkNC

SparkNC Module Course Coding

Public School Units (PSUs) who are using SparkNC modules are to use the course code for local elective credit (96102X0) and title it locally as High-Tech Learning Accelerator.

  • It is up to the PSU to determine how and when to schedule the course. 
  • When a student successfully completes enough modules to earn an elective credit, it is to be entered into the SIS as a “Pass” and will not count in a student’s GPA.
  • It is up to the PSU to determine when the student has passed enough modules with sufficient rigor, breadth, and depth to earn a course credit.  This may occur across grade-levels.

K-8 Digital Literacy (Learning.com) Funding Opportunity

The North Carolina Department of Public Instruction (NCDPI) is pleased to announce that public school units (PSUs) in NC Tier 1 and Tier 2 counties are eligible to receive NCDPI K-8 Digital Literacy funding for the 2023-2024 school year.  This funding will support the implementation of the Learning.com K-8 Digital Literacy curriculum, which is designed to encourage student growth in computational thinking, coding, digital citizenship, online safety, keyboarding, business applications, and computer fundamentals.  If your PSU has already accepted funding for the 2023-2024 school year, no further action is needed.

We ask that all PSUs in Tier 1 and Tier 2 counties that have not already accepted funding, complete this form by November 20, 2023, indicating their interest.  We anticipate this form may take 8-10 minutes.

Has your PSU Opted into Home Base?

The NC Department of Public Instruction is pleased to announce that the Home Base Opt-in Process is now open.  Finance officers and charter school directors/principals may begin opting into Home Base for their PSU. Note:  Only finance officers and charter directors/principals should opt-in for their PSU.

 

This year, PSUs have the option of opting into Navvy, a Pearson computer-adaptive interim assessment add-on for Schoolnet.  Navvy both formatively assesses and tracks standard-by-standard learning to provide immediate, actionable results to correctly inform personalized instruction. Navvy is made available to grades 3 – 8 for Reading and Math at an additional cost of $8 per ADM. If you have any questions about Navvy, please contact Rebecca Stokes.

Feedback from PSUs identified a need for resource hubs for the Home Base products. The product managers have created Admin Resource Courses for each area. These resource courses are located in the NCDPI Canvas instance.

Please visit these courses.  Below are the steps to enroll:

 

How to access these resources:

    • Sign in to the Blue Canvas icon within NCEdCloud
    • Using the Global Navigation (on the left), click the Home Base Resources button
    • On the menu that opens, select the course(s) you would like to enroll into
    • After enrolling, the course will appear on your Canvas Dashboard

Access for PSU PowerSchool SIS Admins

Any PSU PowerSchool SIS admin who does not have access to the NCDPI “Blue” Canvas located in the NCEdCloud portal and would like to have access follow these steps:

  1. Log into my.ncedcloud.org
  2. Find the Blue Canvas icon and click to launch it.
  3. Agree to the Canvas use policy question and Blue Canvas will open.
