It's back! The NCDPI Digital Teaching and Learning Home Base Team will host the Student Information Systems (SIS) Conference at the Raleigh Convention Center on October 27-28, 2022. SIS focused training, including hands-on workshops will be offered, so MARK YOUR CALENDARS NOW!

Home Base Meet Ups

HOSTING SITES NEEDED!!!

 

Thank you, PSUs, for volunteering your locations for our face-to-face 2022-2023 HBMUs. We are now down to two dates that need to be filled:  

 

Remaining Dates and Needed Regions - May 3 (NC/Sandhills), May 4 (NE/SE)

 

The Home Base Team will begin the September HBMUs in the eastern part of the state and travel west throughout the week.  The team will begin the May 2023 face-to-face meetups in the western part of the state and travel east throughout the week.  If you would like to be a hosting site for one of the remaining face-to-face meet ups, please complete the HBMU Hosting Form.  

The calendar of HBMU events has been provided below.  Please mark your calendars accordingly and make note of the format (virtual or face-to-face).  You may also visit our Events Calendar on the website for dates and locations.

Using the Tab Key in PowerSchool

When entering data into PowerSchool text fields, please avoid using the “tab” key as a way to proceed to the next field.  When used, tab spaces are placed in the data which creates issues for downstream systems that retrieve and use the data.

Schoolnet Updates

Regular Monthly Maintenance 

Please be advised that Pearson will be conducting regular monthly maintenance on the Schoolnet application tonight, August 12 at 8 p.m.  The application will be returned to service as soon as maintenance is completed.

 

2022-2023 Schoolnet Features Survey

The 2022-2023 Schoolnet Features Survey has been sent out to the listed Lead and Backup contact for Schoolnet.  If you did not receive the survey, please contact Rebecca Stokes at Rebecca.Stokes@dpi.nc.gov.  The survey will need to be submitted by August 31, 2022.

 

Student Widgets

Student Widgets that have been disabled to prevent seeing schedules (Calendar and Splash Page) will be re-enabled on Monday, August 15, 2022, due to the number of NC PSUs that have already started the school year.  If you have any questions, please email Rebecca Stokes at Rebecca.Stokes@dpi.nc.gov.


Home Base Volunteer

Reminder:  Cross PSU Enrollment Pilot Participation

The Home Base SIS team is seeking PSUs willing to participate in a PowerSchool Cross PSU Pilot. The Cross PSU function will involve enrolling students from one PSU into courses at another PSU within PowerSchool and will not include NCVPS.  The projected target date for the pilot is the first semester of the 2022-2023 school year.

A functional demonstration of the product will occur before volunteers for the program make their final commitment.  The PSUs who choose to continue will be expected to:

  • Actively participate in the pilot program
  • Submit support tickets to report issues
  • Participate in product training
  • Attend 30 minutes to 1-hour online monitoring sessions of the pilot program weekly to discuss the positive and or negative aspects of the product and its usage.


Note:
The frequency of the meetings will be expected to decrease as those piloting the product become more adept with their use of the product.

NC Elementary Students Reading

Reminder: Coding Read-to-Achieve Reading Retained Students

Students who are still non-proficient after summer reading camp need to be coded as Reading Retained in PowerSchool.   It is imperative that this is completed ASAP. 

Students who transfer between districts and remain non-proficient after summer reading camp will not get the label from the previous district in the Transfer Student Record process.   Students must have this label to access the Amplify platform.  Therefore, this data entry should be completed no later than August 29, 2022.

DPI will notify you when the archival process and the pulling of twice retained students will take place later.  DPI will also run a script to remove labels from students in grades 5 and higher one last time prior to archiving the data. Labels entered for the current year should not be removed by PSUs until notification has been sent that this data has been properly archived. 

The Home Base Team has created a QRD, "Coding Read-to-Achieve Reading Retained Students", to assist PSUs with properly coding the "Read Retain" label in PowerSchool for students under Read-to-Achieve. This document also contains links to additional resources that provide background legislative information and FAQs.

Reporting

Reminder:  GDV2 Submission Date Extended to August 17, 2022

The submission date for the 2021-2022 Final GDV Report (GDV2) in PowerSchool has been extended to Wednesday, August 17, 2022.   Students who graduated on or before August 6, 2022, must be added to the GDV2 report in PowerSchool, and all PSUs must submit the report by the new deadline.


Reporting

Reminder:  PMR – 21 Exception: Students Absent on First Day of Enrollment 

Beginning with the 2022-2023 school year, the PMR 21 Exception has been updated from a warning to a fatal. Students must be present (at least ½ of the instructional day) on their first day of enrollment for the school year. Teacher-in-treatment and medically fragile students are exempt from this exception.  


Reminder:  Home School Students 

Local boards of education who choose to admit students for a portion of the school day who are enrolled in home schools must develop policies related to the admission and attendance of those students. Home school students are to be enrolled as Visitor, VST1 or VED1.

OCR

Reminder:  OCR/CRDC - SY2022-23 - CRDC Contacts in EDDIE 

Dear Coordinators,  

  

Please share with other staff as appropriate.  Read this message carefully. 

  

The Office of Civil Rights Data Collection (CRDC) will be conducted in the 2022-2023 school year.  Data for the collection is from the previous year (School Year 2021-2022).   

 

To date, the Federal government has not published an official start date.  The NCDPI will notify PSUs once an announcement has been made. 

 

Note:  PSUs which were not open in the school year 2021-2022 are not required to participate in this collection. 

  

CRDC Contacts in EDDIE 

Last week, NCDPI made the following updates to the EDDIE system to prepare for communications regarding the coming collection: 

 

  •         All past Office of Civil Rights Coordinator contacts have been deleted from the EDDIE system.
  •         The EDDIE Staff Role name has been updated from ‘Office of Civil Rights Coordinator’ to ‘CRDC Coordinator’.
  •         PSUs may record up to two CRDC Coordinator staff roles only.

 

Beginning August 8, 2022, please record two staff members who have been identified as the CRDC Coordinator.  These staff will be the technical contacts for the CRDC.  

PSUs are also strongly advised to verify or update the Student Information Coordinator contact in the EDDIE system. 

 

CRDC Coordinator Responsibilities: 

  1.       Serve as the technical contacts
  2.       Review data collected by NCDPI on behalf of the PSUs before the federal submission
  3.       Add and correct data in the CRDC Federal Submission Tool
  4.       Certify the data collection in the CRDC Federal Submission Tool

 

Instructions for creating Staff Entries (Roles) in EDDIE are in the Help Using EDDIE section of the NCDPI website.

Reminder:  ECATS Beginning-of-Year (BOY)

ECATS has returned to its normal file schedule and is importing 2022-2023 school data. Please remember that a higher volume of transfers due to BOY is occurring, and record transfers in ECATS could take longer than usual.

 

The process to update graduation data in ECATS will occur after the August deadline for entry of graduation data into PowerSchool. Once this file is processed, students who have graduated will be exited in ECATS. After that point, districts will be able to select the Modified Exit Reason in ECATS for the 2021-2022 Exit Count and these students will no longer appear active in ECATS.


Reminder:  Legal Names in PowerSchool

It has been brought to the NCDPI Home Base Team’s attention that some PSUs are entering the suffix of a student’s legal name (e.g., Jr., III, etc.) in the last name field of PowerSchool.  This causes errors in third party systems that pull this information from PowerSchool (e.g., ECATS, etc.). 

 

To avoid downstream errors, please use the appropriate fields when entering a student's name in PowerSchool.  For more information on how to enter legal names and preferred names, visit the quick reference document, PS Guidance: About Legal and Preferred Name.

Reminder:  Advance Math Course (AMC) Legislation

To support the effective implementation of the June 2019 Advanced Courses in Mathematics legislation, the NCDPI team is providing the attached updated information and guidance around the impact of the legislation and the mechanism for reporting the information to the Joint Legislative Education Oversight Committee (JLEOC).  

 

The Advanced Math Course (AMC) legislation strengthens NC’s focus on broadening access and opportunities by ensuring that all impacted students receive rigorous, academically appropriate instruction in mathematics and that students are not overlooked for advanced learning opportunities in mathematics.

Attendance Reminders

The NCDPI Home Base Team is looking forward to a brand new year, and with that, please remember that taking accurate daily attendance for students is essential.  Attendance guidelines can be found in the NC SASA Manual. 

 

As policies change and new codes are added to meet those changes, it is imperative to review attendance data on a regular basis to ensure proper attendance coding.  Financial Service and Business states that to be considered in attendance, a student (except for hospital/homebound or staggered kindergarten) must be present in the school for the school day or at a place other than the school with the approval of the appropriate school official for the purpose of attending an authorized school activity. Such activities may include field trips, athletic contests, student conventions, musical festivals, or any similar approved activity.

Except as noted above, a student must be present at least one-half of the school's instructional day in order to be recorded present for that day.

 

NC General Statute 115C-378 states in part that no person shall encourage, entice, or counsel any child of compulsory school age to be unlawfully absent from school.

 

If a student is exempted from an exam and is not present in the school for the school day or not at a place other than the school with the approval of the appropriate school official for the purpose of attending an authorized school activity, the student is absent.

PEBT Attendance Code Reminder


As shared on 11/20/21, P-EBT continued in the 2021-2022 school year.  The benefits will be provided only to students enrolled in schools that are approved to participate in the National School Lunch Program. P-EBT eligible students are those students that qualify for free or reduced-price meal benefits or attend a CEP school. Students will be reimbursed based on the individual attendance records with the attendance codes of 1D Quarantine and 1R Present Off-site.


Homebound/Hospital Attendance Code

A new H/H Attendance Code is now live in PowerSchool as of July 1, 2022. The attached technical assistance guide is intended to illustrate appropriate use cases for this code, provide responses to the FAQs submitted since announcing the upcoming release of the code, and an explanation of the documentation necessary to support a homebound/hospital placement through medical necessity or IEP Team decisions. Please be aware that this information is also being shared concurrently with other appropriate district personnel.

Transcend Training

We want to take this opportunity to welcome those who opted in to the Transcend Assessment System. 

 

As you may have seen in one of the Transcend demos hosted by John Mairs, the Transcend assessment sits within the Home Base Schoolnet platform. We would like to assist your schools with the implementation process and provide opportunities for training and support.

 

PSU training opportunities will consist of two parts: test set-up and administration and reporting. The initial training for Transcend will consist of 2 live sessions (that will be recorded) focusing on the initial assessment set-up. Participants will walk through selecting standards using the intelligent test blueprint (ITB) based on their district's scope and sequence. The training will also focus on test session management.​ This session is designed for PSU assessment managers. Part two of the training opportunities will include 2 live sessions (that will be recorded) on the navigation and interpretation of the Transcend reports. ​

 

We ask that you register for these sessions here.

 

District support ​will be available before, during and after the assessment administration​s. Consistent with NCDPI support, ServiceNow cases​ should be submitted to request troubleshooting, questions, and support.

Feedback from PSUs identified a need for resource hubs for the Home Base products. The product managers have created Admin Resource Courses for each area. These resource courses are located in the NCDPI Canvas instance.

    • Sign in to the Blue Canvas icon within NCEdCloud
    • Using the Global Navigation (on the left), click the Home Base Resources button
    • On the menu that opens, select the course(s) you would like to enroll into
    • After enrolling, the course will appear on your Canvas Dashboard
