Greetings AP Coordinators,

Thank you for your work these last several weeks to ensure students are registered in AP Classroom for their AP courses so that they are able to utilize the supports prepared for their success in the courses and on the AP exams.

AP Exam Ordering Deadline Is Fast Approaching!

 

Prepare your school's AP Exam order to submit through AP Registration and Ordering by the deadline:

  • November 15, 2021 (by 11:59 p.m. ET): Final ordering deadline. This is the deadline to submit exam orders for all full-year and first-semester AP courses, and exam only sections. The late order fee applies for exams ordered after this date.
  • Spring course orders and fall order changes must be submitted by the following deadline: March 15, 2022 (by 11:59 p.m. ET): This is the deadline to order exams for AP courses that begin after November 15 (second semester courses) and to submit any late orders. You can also submit known exam cancellations by this date.
  • Download the 2021-22 AP Coordinator's Manual, Part 1, which provides instructions about the tasks you’ll complete from the start of the school year through the November 15 final ordering deadline. (The 2021-22 AP Coordinator's Manual, Part 2 will be available in early 2022 and will provide details about exam administration policies and procedures.)

 

Best Practice

All AP Coordinators should check APRO on Nov 15 even if they have submitted their order earlier. If a student happens to enroll after their submission, they will come in as “undecided” and an exam will not be ordered for them.  Checking one final time on Nov. 15 can catch any inadvertent actions and allow you to confirm that all orders are “yes”.

 

Avoid Problems Submitting Your Exam Order

 If you haven't already done so, electronically sign and submit your AP Participation Form through AP Registration and Ordering. You won't be able to submit your exam order until the form has been completed. The form is generated after you complete your initial setup in the system.

Make sure your 2021 AP Exam balances are paid in full. Your ability to order and administer 2022 AP Exams may be in jeopardy if you have any unpaid 2021 balances. Call AP Services for Educators at 877-274-6474 (toll free in the United States and Canada) or 212-632-1781 if you have any questions.

 

EXAM ONLY Sections CHECKLIST

  1. Are all NCVPS or virtual AP course sections (meaning students taught by teachers NOT at your school) created as EXAM ONLY?  Have you given those students their JOIN CODE for the Exam Only section so that you can order the AP Exams for them?
  2. ALERT! NCVPS teachers or the virtual AP course teachers must have their students JOIN the teacher’s specific course section(s) in AP Classroom so that the APRO system can match up the Exam Only students from your school with this provider.  **Your school will be responsible for paying for these Exam Only exams IF the NCVPS teacher or the virtual AP course teachers do not create the AP Classroom section and your students enrolled in their courses do not join AP Classroom section.**  The APRO system will automatically see your school’s EXAM ONLY section for this student and attempt to match it with the NCVPS or virtual AP course teacher’s AP Classroom section. If APRO finds a match, the NC state subsidy will kick in and pay for this student’s AP Exam.  If your Exam Only student has not joined an AP Classroom with the teacher providing the AP instruction, your school will be responsible for the AP Exam cost (DPI will not pay for unmatched exam-only students).  Best practice is to follow up with NCVPS or the virtual AP course teacher to ensure that your students have JOINED the virtual teacher’s AP classroom section.
