Update from Our NC AP Partnership

It's AP Exam Registration Time!

AP exam orders for Semester 1/Yearlong AP courses must be submitted by Friday, Nov. 13 in the AP Registration and Ordering System (APRO).

GOOD NEWS Reminder!

This year, the unused/canceled exam fee is waived for students who may later decide not to test. All students who currently plan to take AP Exams should join their teachers’ AP Classroom sections now so you can include them in your school's exam order by November 13. Because the $40 per exam late order fee still applies this year, it's better for students to be registered on time and cancel later, rather than order after the deadline. Schools won’t be charged any fee for exams that are canceled or indicated as unused.

CHECKLIST

Here is a CHECKLIST to help you.  You can submit your order and resubmit any time up to the November 13 deadline. We strongly suggest submitting the order as it is as soon as possible, and then resubmitting as necessary before November 13 as changes are made to the order.

  1. Have all Semester 1/Yearlong AP and Exam Only sections been created?
  2. Are course sections entered correctly Yearlong AP/Semester 1 vs Semester 2?  Be sure to double check, especially if teachers created their own sections.  If a course is Semester 2 (course begins after November 13) but not coded as such, the system expects the ordering to happen for those students by November 13.  Changes can be easily made by going to the ACTION pull down to the right of the section, choose EDIT SECTION, and then choose SECOND SEMESTER.  All Semester 2 sections will have a 2 with a circle around it to indicate second semester.  (Note that second semester course enrollments and orders are not due until March 12.)
  3. Have AP students in Semester1/Yearlong AP courses been given a JOIN CODE by their AP teacher at your school, and have the students enrolled in the class?  If not, you won’t be able to order the AP Exam for those students until students join.
  4. Do the courses and their students listed in AP Registration and Ordering System match the course info in PowerSchool? Cross-referencing these lists is a great way to ensure that no students are missed in your AP order.

EXAM ONLY Sections CHECKLIST

  1. Are all NCVPS or virtual AP course sections (meaning students taught by teachers NOT at your school) created as EXAM ONLY?  Have you given those students their JOIN CODE for the Exam Only section so that you can order the AP Exams for them?
  2. ALERT! NCVPS teachers or the virtual AP course teachers must have their students JOIN the teacher’s specific course section(s) in AP Classroom so that the APRO system can match up the Exam Only students from your school with this provider.  Details are on page 39 of the AP Coordinator’s Manual under “State Subsidies.”  **Your school will be responsible for paying for these Exam Only exams IF the NCVPS teacher or the virtual AP course teachers do not create the AP Classroom section and your students enrolled in their courses do not join AP Classroom section.**  The APRO system will automatically see your school’s EXAM ONLY section for this student and attempt to match it with the NCVPS or virtual AP course teacher’s AP Classroom section.  If APRO finds a match, the NC state subsidy will kick in and pay for this student’s AP Exam.   If your Exam Only student has not joined an AP Classroom with the teacher providing the AP instruction, your school will be responsible for the AP Exam cost.  Best practice is to follow up with NCVPS or the virtual AP course teacher to ensure that your students have JOINED the virtual teacher’s AP classroom section.

Thank you for all you do to support your AP program!
