AIM Data Collections

The AIM Data Collection Schedule contains a complete list of all AIM data collections occurring throughout the year. The following AIM Data Collections are taking place during the month of September:

Beginning of Year Verification: Opens 8/11/21 Closes 10/8/21

Fall Assessment Verification, EL Assessment: Opens 8/11/21 Closes 10/15/21

Fall Assessment Verification, Alternate Assessment: Opens 8/11/21 Closes 11/30/21

Previous Year Graduates, Cohorts, & Dropouts Validation and Certification: Opens 9/15/21 Closes 10/8/21

  • This process ensures review of previous school year (2020-21) data validation dropout data. Dropouts who have returned to a district in the state by 9/30/21 can be adjusted to have a non-dropout end status.
  • Ensures review of previous year graduates and cohorts using the data validation reports. After 9/30/21 when previous year dropouts have been reviewed and adjusted if needed, certify previous year dropouts using the data certification process. Fall Enrollment Count and Program Participation: Opens 10/5/2021 Closes 10/20/2021

  • Fall Count Collection is for entering or calculating aggregate hours, service types, and count date absences. It also ensures that enrollment data for all students, including MT Youth ChalleNGe, Job Corps, MTDA, 19 and 20 year old students eligible for ANB, enrolled on 10/4/21 is verified and accurate. Districts should also verify demographic data including name, race, ethnicity, gender, and date of birth, then import AIM enrollment data into the OPI MAEFAIRS system. 
  • Fall Program Participation portion of this collections ensures that FRAM (free/reduced meal status), EL (English Learner) Immigrant, Homeless/Unaccompanied Youth, Gifted & Talented, Title I, Military Connected, Foreign Exchange, and Section 504 students enrolled on 10/4/21 are verified and enrollment data is accurate. Districts should also verify that completed Special Education ERs and IEPs are locked, verify 21st Century data in AIM, and check the OPI AS21 system. Fall CTE Collection

  • This collection ensures that the Date Contacted and Post-Graduation Status fields for CTE concentrator students who graduated in previous spring school year (2020-21) are populated and accurate. These students should be contacted during the second quarter.

AIM Announcements

Infinite Campus will be updated to the 2140 release after 5 p.m. on 10/29/21. Last weekend, the Infinite Campus 2136 release was put into production. 

Montana specific highlights included in Infinite Campus update to release 2136 applied on 9/25/21:

Montana – State Assessment Test Setting End Date to Auto-Populate to Start Date + 1 Year 

The End Date field on the State Assessment Test Settings tool has been updated to auto-populate to one year from the Start Date entered.

Montana – State Assessment Test Setting Name Change 

The ‘Smarter Balanced ELA-CAT (Reading) test setting has been renamed to ‘Smarter Balanced ELA-CAT’ on the State Assessment Test Settings editor.

Montana – Instruction Mode State Program Added

A new student Instruction Mode tab was added to State Programs. This new tab allows schools and districts to begin collecting Mode of Instruction information for submission to the state.

Montana – Updated Message Under Enrollment Exceptions Section of Enrollment 

The hard-coded message under the Enrollment Exceptions section in the Enrollment tool has been updated to state:

State Exclude and Extracurricular Activities cannot both be marked. Only non-public students should be marked as ‘Extracurricular Activities Only’.

If ‘Extracurricular Activities Only’ box is marked, no other enrollment tab data is needed EXCEPT End of Year Number of 6+ and Number of 18+ weeks activities completed.

Montana – Extracurricular Activities Only Validation Updated 

Validation warning text for when Extracurricular Activities Only is selected for a student whose Service Type does not equal S: Partial has been updated to state: “Students marked as 'Extracurricular Activities Only' must have Service Type of 'S: Partial' and a start status indicating they transferred from a home or private school.”

AIM Data Reminders

AIM Student Photos Needed

Please remember to collect the Student Photo Opt-In information from parents as they start registering their students for next year.  Then please follow-up with importing students photos into Infinite Campus, so the photos in AIM with the Opt-in value can be used by the Department of Justice to help find missing children.  See our AIM District Student Photo Repository user guide for additional information.

AIM Enrollment Overlap and State Enrollment Overlap Reports

Please run the Enrollment Overlap Report and the State Enrollment Overlap Report to check and clean up any overlapping enrollments prior to the Fall Enrollment Collection which begins on 10/5/2021. 

Updating AIM Contact Information

Please ensure to submit the AIM Contacts Update Form on the OPI AIM website whenever there is a change in AIM staff or AIM contact info at your district or school.
