April AIM Data Collections

The following AIM collections are taking place during the month of March:

Spring Assessment Registration: 1/1/2021-5/14/2021

The Spring Assessment Registration data collection is intended to ensure that enrollment and demographic data is up to date and accurate for the following students:

  • Smarter Balanced: Enter and verify demographic and enrollment data for all students in grades 3 through 8.
  • Montana Science Assessment: Enter and verify demographic and enrollments data for all students in grades 5 through 8.
  • Alternate Assessments: Verify Statewide Assessment section of the locked IEP is marked for those students needing the alternate assessment. Enter and verify demographic and enrollment data for all students in grades 3 through 8 and 11.

Winter Assessment Registration: 12/1/2020-4/20/2021

  • ACT with Writing Registration: Enter and verify demographic and enrollment data for 11th grade students. The OPI will upload student data to Pearson Access Next (PANext) system during this time.

NOTE: Please be sure to review page 4 of our AIM Assessment Registration Collection User Guide to verify any mid-year grade level changes are accurately recorded in Infinite Campus/AIM.

Test Window Enrollment Count & Program Participation: 4/9/2021-5/4/2021

  • Enter or calculate aggregate hours and verify enrollment data for all students, including MT
    Youth ChalleNGe, Job Corps and MTDA students, enrolled on 4/8/21.
  • Verify FRAM (free/reduced meal status), EL (English Learner) Immigrant,
    Homeless/Unaccompanied Youth, Gifted & Talented, Title I, Military Connected, Foreign
    Exchange, Section 504 counts, Job Corps, Youth Challenge, 21st Century Participants, and MT Digital Academy Students. Verify that completed Special Education ERs and IEPs are locked. Verify Behavior data is entered in preparation for end of year reporting. Student data must be accurate as of test window count date 4/8/21.

The following AIM webinars are taking place during the month of April:

AIM End of Year Enrollment Process Collection:

The End of Year Enrollment Process webinar walks through the process of creating 2021-22 calendars and rolling students forward into the next calendar year. It also shows how to end all 2020-21 enrollments, including MT Youth ChalleNGe, Job Corps and MTDA students, and how to complete 2020-21 graduate data. 

This collection opens 5/3/2021 and closes 6/18/2021. Please see our AIM End of Year Process User Guide for more information. We will also cover the AIM Reporting Cohort User Guide during this webinar.

AIM End of Year Program Participation and Attendance Totals Collection:

This AIM webinar covers the entry of the End of Year Program Participation data and the End of Year Attendance Totals, which must be entered after the last day of school. This includes entering or calculating ADA #Days Present, ADA #Days Enrolled and ESSA #Days Absent for each enrollment in 2020-21.

This collection opens 5/3/2021 and closes 6/18/2021. Please see our AIM Program Participation User Guide and our AIM End of Year Attendance Totals User Guide for more information.

AIM Behavior Validation and Certification Collection: 

This AIM webinar covers the process for helping districts identify the behavior data validator and certifier. It also walks through the process for validating and certifying behavior reports.  The window to validate and certify Behavior Report for 2020-21 is open from 5/12/21 to 6/30/21.

AIM Data Reminders

21st Century Participants

Please make sure your 21st Century Program information is getting updated regularly and is ready for the next AIM Test Window program participation collection which is starting on April 9th through May 4th (as noted above). This data is needed for state and federal funding and also for federal reporting of the connection of 21st Century students and behavior incidents. The 21st Century Participant check box field is located on the enrollment tab in Infinite Campus. This data can be entered into Infinite Campus either by direct entry, or via the Program Participation Upload Template (available on our AIM web page). There is also a new state published ad hoc report available in Infinite Campus for the upcoming Test Window collection called ‘TWPR 21st Century Participants 2020-21’. This lists students currently marked as 21st Century as of the 4/8/21 count date and includes some data districts will need for for the separate, new  OPI 21st Century system called ‘AS21’. For questions about the 21st Century field in AIM please contact the AIM help desk (406-444-3800). AIM CTE Collection Change

There have been several significant changes to the CTE Collection that historically would take place in March. Please note that the Spring CTE Collection is no longer taking place in March. It is now called the End of Year (EOY) CTE Collection and it will be opening in May.

We will send out new AIM resources pertaining to the new EOY CTE Collection including a new AIM User Guide and webinar information closer to the collection date.

AIM Reporting Cohort Data- Date First Entered 9th Grade

Please ensure all high school students have their Date First Entered 9th Grade field populated under the Graduation Tab. Please review our Reporting Cohort Data AIM User Guide for instructions on how to complete this field.


The OPI is Discontinuing MT E-Transcript Option

Effective July 1, 2021, the OPI’s MT Electronic Transcript service will no longer be available for districts. For schools that are currently using the OPI’s MT Electronic Transcript service,  they can expect an email or call directly from the OPI and/or the vendor, Parchment.

For those districts that use Infinite Campus as their local student system, they may refer to the electronic transcript option inside Infinite Campus.

There are also options available for those districts that do not use Infinite Campus as their local student system and do not have an electronic transcript option currently available.
