MIIC has a new user guidance training resource available for the MIIC forecaster, our clinical decision support tool that forecasts each client’s vaccination needs. The MIIC Forecaster Tool (PDF) resource provides a basic overview of the forecaster’s capabilities, as well as information on how catch-up schedules, combination vaccines, and vaccines administered outside the United States are displayed in MIIC. This resource also covers common areas of confusion in the forecaster, such as off-label use of vaccine and tradename-specific forecasting.

MIIC collects select demographic data elements, which are viewable when navigating to a client’s Personal Information screen in the MIIC user interface. The following demographic information is stored and available in MIIC:
- Name
- Date of birth
- Sex/gender
- Race/ethnicity
- Mother’s first and maiden name
- Address, phone number, and email
The quality of our demographic information in MIIC is important for many reasons, including the following:

Client searching and deduplication: Accurate and complete demographics in MIIC are very important for making sure users can find the right patient and for preventing the creation of record fragments or accidental merging of records belonging to people with similar names and dates of birth.

Consumer access through Docket: Accessing an immunization record through the Docket application requires the name, date of birth, sex/gender, and phone number or email address to match in MIIC. Having complete and up-to-date information in those fields helps people get access to their MIIC Immunization Record faster!

Immunization promotion and outreach: Both our centralized reminder/recall mailings and the MIIC texting program use the contact information (i.e., address, phone number) listed in MIIC. Current information is important so individuals can be notified of immunizations they are due for.

Calculating immunization coverage rates: The immunization coverage rates based on MIIC data that we currently make available on our public webpages rely on accurate and complete demographics, such as address and race/ethnicity. Accurate coverage rates help public health agencies plan local and/or focused immunization activities.
Because of the many ways this information is used, it is important for you to enter or send complete and up-to-date demographics for your patients whenever possible, even if it’s outside an immunization visit!
Organizations that are not able to edit demographic data in MIIC (such as schools or childcare sites) can help in one of two ways:
- Encourage your client to submit a MIIC record update request.
- Send a secure or encrypted email health.miichelp@state.mn.us with current client demographics and request a record update. Include the client’s MIIC ID if known.
- Schools must first obtain parent/guardian consent in accordance with their school’s policies and adherence to the Family Educational Rights and Privacy Act (FERPA).
The MIIC operations team works hard to ensure high data quality in MIIC, so that MIIC can continue to be a reliable resource for both our users and all Minnesotans. While we conduct our own data quality monitoring, providers are encouraged to closely monitor their data in MIIC and reach out whenever they need help correcting issues in MIIC.
Some examples of issues we’ve helped providers with include:
- Manually invalidating a dose in MIIC after it was discovered that the administered dose was expired.
- Updating a batch of immunizations that were accidentally reported to MIIC as historical, rather than administered.
- Correcting administration dates when a vaccination date was entered for a client’s date of birth.
- Correcting immunizations that were submitted as the wrong vaccine product.
When you do encounter an issue in MIIC:
- When possible, correct the information in MIIC by either logging into MIIC and making the corrections or working with your IT department/vendor to make updates through your data exchange processes.
- If you are unable to make the corrections yourself (i.e., there was a large-scale storage and handling incident or data entry issue) or if you have questions, reach out to the MIIC Help Desk at health.miichelp@state.mn.us. Include the MIIC ID(s), a description of the issue, and the correction that is needed. The MIIC team will work with you on how to best make those changes in MIIC.
