Every time a client receives services at your organization, please confirm and update all demographic information, including full name, gender/sex, race/ethnicity, phone number, email address, and residential address in MIIC. If a client is not receiving health services but requests an update to their demographic information, please ensure that data is updated in MIIC as well. Be aware that not all electronic health records (EHRs) allow for automated updates which may require you to log into the MIIC user interface.
Having accurate information helps us provide important services to your patients, such as reminder/recall activities, texting projects, and reporting immunization rates. Up to date demographic data is also required for a person to access their MIIC records through the Docket mobile app (learn more about Docket at Find My Immunization Record).
Resolving data discrepancies and updating demographic information is a requirement in the Data Use Agreement all organizations sign in order to participate in MIIC. Authorized users can directly update this information so please ensure that your organization has at least one person with access to the MIIC user interface. Verify with your IT departments and/or EHR vendors that information being sent is both accurate and correctly formatted. For instance, you may need to work with them to verify that the data elements are updating the correct fields (i.e., you are sending the street address in the Street Address line and the apartment/unit/floor number in the other address line and not vice versa). Inaccurate information such as the following should not be entered or sent to MIIC:
- 999-999-9999 or 000-000-0000 (or other repeating digit) phone numbers.
- Previous addresses in the other address line (in addition to the current address in the street address line).
- Notes in the street or other address lines.

With the recommendation of the updated 2023-2024 COVID-19 vaccine, MIIC separated COVID vaccines into two vaccine groups: COVID Pandemic and COVID Routine.
COVID Pandemic encompasses all COVID-19 vaccines and their associated schedules up through Aug. 2023, including the bivalent boosters and all non-US COVID-19 vaccine products. It will only be visible on immunization records for clients who received one of these vaccines in the past and will no longer be forecasting doses going forward.
COVID Routine currently holds only the updated 2023-2024 COVID-19 vaccines and forecasts its schedule for all eligible clients in MIIC. It is intended to be used for annual routine COVID-19 vaccination going forward.
As we move toward commercialization of COVID-19 vaccine, we want to remind organizations of available COVID-19 vaccine resources.
For information related to entering COVID-19 product information into MIIC, visit our user guide at Entering COVID-19 Product Information in MIIC.

We appreciate continued efforts to report quality and timely immunization data to MIIC!
Codes for submitting the new RSV vaccine and monoclonal antibody products (BEYFORTUS, ABRYSVO, Arexvy) to MIIC have been added to the system, including new CVXs, CPT codes, and NDCs. These codes are ready for data submission via electronic data exchange and spreadsheet upload, and the tradenames are in MIIC for direct data entry.
You can review the CVX and CPT codes on MIIC Codes for Data Submission and Exchange. NDCs can be found at CDC IIS: NDC Crosswalk tables.
The MIIC Operations Unit is looking to highlight individuals and/or organization(s) that are working on or have worked on improving MIIC data quality. If you or someone you know has been working on or has worked on improving MIIC data quality, please email the MIIC Help Desk at health.miichelp@state.mn.us.
