If you haven’t used OneNote much, you might not know about some of the really cool features it has to make it easier for you to take meeting notes and share them with the other members of your team.
Let’s start with the basics. When you want to take notes for a meeting, you probably start with just creating a new page in your OneNote notebook and giving it a title. Then you take notes. Pretty straightforward, right?
Your notes might include things like the agenda, action items, and who attended the meeting. And when you’re done, you probably want to share those notes with the attendees, so that they can follow up with anything that needs to be done, or have a record of what was discussed and agreed upon. OneNote gives you two buttons to help you do those things, the Meeting Details button and the Email Page button. This week, we’re going to focus on the Meeting Details button, and next week we’ll talk about the Email Page button.
Meeting Details Button
The Meeting Details button in the Home tab will show you a list of meetings (outlined in red) that are on your calendar that day when you click on it. You can select one of those meetings if you’re taking notes for a meeting you’re having that day, but you can also choose a meeting from another day (circled in green) – maybe you’re prepping for something later in the week.
When you select the meeting you want, the page will populate with the information from the meeting invite on your calendar, and if you didn’t already put in a title for the page, it will automatically fill in the name of the meeting and the date.
The Invitation Message includes whatever text was in the meeting invite, including the Teams meeting link and call-in numbers. You can click on the Expand link or the little plus sign next to the text (outlined in red) to show the meeting information, or you can leave it collapsed if you don’t need to see it.
The list of people who were invited to the meeting shows in the Participants section, and it also shows whether they accepted or declined the meeting in Outlook. There’s a little checkbox next to each name, and you can use that to check off the people who attended, if that’s important to you.
Below that, is a heading called Notes, which is where you… put your notes! It’s pretty straightforward.
And that’s the Meeting Details button – try it out and see if it is something you find useful! Tune in next week to learn about the wonders of the Email Page button.
