MIIC Program Updates
COVID-19 Vaccine Planning: Data Reporting
COVID-19 vaccination will take a phased approach, with phase 1 potentially beginning as early as November 2020. Early on, doses will be very limited and vaccine will likely be provided in closed settings like hospitals and long-term care facilities. Some community-based providers will not have an active vaccination role until phase 2 when a larger number of doses becomes available and vaccine is available in more settings. We do not know yet when this later phase will begin.
There are multiple candidate vaccines currently in clinical trials; it is not yet known which vaccine(s) will be approved. The Centers for Disease Control and Prevention (CDC) has recently shared some vaccine planning assumptions. Two assumptions to note:
- Two doses of COVID-19 vaccine, separated by either 21 or 28 days, will be needed for some vaccine candidates; both doses will need to be with the same product.
- Dose level accountability and near-real-time reporting of doses administered by providers is an expectation of the federal government.
Even if you do not anticipate being an initial vaccinator, there are steps you can take now to prepare for COVID-19 vaccination. The most important thing you can do is ensure that your organization is submitting routine vaccination data to MIIC in a timely and efficient manner.
If your organization submits data to MIIC via:
1. Electronic data exchange: Please review your messages to ensure you are sending a CVX/CPT code pair or an NDC code.
2. MIIC flat files: Please review your files to ensure you are sending CPT and trade name.
3. Batch upload by spreadsheet: We are currently improving the flu spreadsheet to allow users to submit CPT and CVX codes. The updated template and user guide will be available later this year.
4. Direct data entry: Ensure staff are selecting the correct option from the “Trade Name” drop-down menu.
The current list of vaccine codes can be found at MIIC Codes for Data Submission and Exchange. This list will be updated as vaccine codes for COVID-19 vaccine product become available.

MIIC Tips
Client Follow-up and Assessment Functions
MIIC’s Client Follow Up and Assessment functions are a great way to see if your patient population is protected against vaccine preventable diseases. Use them to run these reports for all patients in a particular age range who are associated with your organization in MIIC, or on a specific list of patients you serve.
If you use MIIC’s Assessment Reports to look at immunization rates in your population, make sure you allow for plenty of time to run them. If you have a large number of patients, make sure you leave plenty of time to run the report or run it in off-business hours. Once you’ve run the report, review the information to identify any opportunities for improvement. Run the report at regular intervals over time to monitor any changes.

MIIC Data and Statistics
Participation by Organization Type
There are many types of organizations that report their vaccine doses to MIIC. With the 2020-2021 influenza season upon us, it is important to note MIIC participation among certain organizations.
Participating providers are those that have submitted and/or entered shot data in MIIC within the past 90 days. Currently, the top three organization types by number of organizations actively participating in MIIC are pharmacies (617), primary care clinics (533), and hospitals (106).

To assist with determining a more complete denominator MIIC Operations staff has used the following sources: 1. Board of Pharmacy (Pharmacy) 2. SQRMS Registry List (Primary Care Clinics; Urgent Care Clinics) 3. MIIC
All other org types are based on information in MIIC and may be an underrepresentation of MIIC participation in Minnesota among these org types.
When looking at the total number of flu vaccine doses reported during the 2019-2020 flu season, primary care clinics reported the greatest number of flu doses at almost 1.5 million! Pharmacies and Community Vaccinator organizations reported/administered nearly 700,000 flu doses last year.
