MIIC Program Updates

COVID-19 Vaccine Planning

With a COVID-19 vaccine right around the corner, we have started taking steps to prepare for mass vaccination in the state of Minnesota. While there is still much unknown about what mass COVID-19 vaccination will look like, please be aware that reporting on COVID-19 vaccination to MIIC will be required within 7 days of vaccine administration. Start thinking now about your organization’s ability to report administered dose within this timeframe. Allowing your system to automatically send and receive data from MIIC will make it easier and faster to keep up-to-date immunization records once COVID-19 vaccine is available.

Since we’ll be working on an accelerated timeline and data entry into MIIC will be required in order to receive COVID-19 vaccine, we want to make sure the process is as smooth and easy as possible. If you have any questions, please contact the MIIC Help Desk at health.miichelp@state.mn.us.

Administrator Role

Did you know that most organizations should have a designated MIIC Administrator? This includes health care facilities, pharmacies, local public health agencies, and nursing homes/long-term care facilities.

The MIIC Administrator is the primary contact for staff at the Organization who need basic MIIC assistance and training. They are responsible for setting up new accounts, reactivating accounts, and changing passwords for users within their organization.

Please note: Some organizations, such as child care organizations and most schools, are not able to have a designated MIIC Administrator.

Reminder/Recall

Reminder/recall (R/R) is process where organizations can:

  • Notify individuals that vaccinations are due (reminders) or late (recall)
  • Deliver these notifications by various methods (e.g., telephone, letter, postcard, text message)
  • Tailor the notifications for individual clients

Reminder/recall efforts can be led by providers and facilities or they can be centralized through the MN MIIC regions or through MDH. Due to the COVID-19 pandemic, some partners have put their R/R activities on hold while others are ramping up due to decreases in shot uptake, especially in children under two years of age. R/R can be a powerful way to bring clients to the office to receive their shots.

Drive-thru vaccines at CentraCare Plaza 

CentraCare

Most children receive the vaccines they need during their scheduled well-child appointments. As a result of COVID-19, many well-child appointments are being rescheduled or delayed. CentraCare Clinics, based out St. Cloud, is rising to the occasion by offering drive-thru vaccines for children ages 3 and up.

The same vaccine protocols that apply to vaccines given in the clinic also apply to vaccines given at the drive-thru location. Patients make an appointment for the drive-thru clinic as they normally would. On the day of the appointment, a nurse completes a phone screening with the patient before they arrive or shortly after they arrive at the clinic. The screening process is exactly like a normal in-clinic immunization appointment. A CentraCare staff member reviews the patient’s MIIC record to see what is due and also does a phone screening for symptoms associated with COVID-19. Once that is complete and the patient has pulled up to the designated area, a staff member comes out with the shots, the Vaccine Information Statements (VISs) and other information. The vaccines are given through an open car window, and then charting and documentation takes place in the clinic.

Nicolette Leaders, the Vaccine and Medication Safety Nurse at CentraCare, was skeptical at first. She did not see how this project could flow in a way that would ensure smooth vaccination processes. However, she is happy to say the drive thru clinic is working very well! Nicolette has heard from several happy patients. “One of our regular patients said this was the first time her child was calm before shots. There was no anxiety of going into the clinic and into the exam room. She was comfy in her car seat and took the immunization like a champ. It was a great and safe experience!” Drive-thru vaccines are currently offered at the CentraCare Plaza Pediatrics location, from 8 a.m. to 5 p.m.
