Sponsor Monitoring: Mark Your Calendar – Schedule Site Visits and Reviews
Program monitoring is an essential part of a successful Summer Food Service Program. Sponsors must monitor their summer food sites regularly to ensure the programs meet requirements and operate smoothly. The minimum requirements for sponsors’ monitoring visits to SFSP sites are described below.
Monitoring Visit Requirements for New SFSP Sites (sites that did not provide SFSP meals last summer) and sites that had operational challenges in the prior year:
- One monitoring visit conducted before the site begins operating, during which the Pre-Operational Visit form should be completed.
- One monitoring visit conducted within the first two weeks of program operation, during which the Site Visit form should be completed.
Monitoring Visit Requirements for All SFSP Sites:
Racial/Ethnic Data Collection
Off-Site Field Trip Meals
Meals taken off-site on a field trip can be claimed for reimbursement if notice is provided to the Minnesota Department of Education (MDE) by 8 a.m. the morning of the field trip. Report field trips.
State Agency Administrative Reviews and Unannounced Site Visits
- New SFSP sponsors will receive an administrative review this summer. This includes those schools/organizations that did not participate in SFSP last summer or have not received an administrative review.
- The administrative review list for renewing sponsors is not yet finalized.
- Sponsors receiving an administrative review can expect a site review(s) at any time throughout the summer. Site reviews in the summer months are usually unannounced.
- During the summer, an MDE nutrition program consultant will contact the person listed on the sponsor application to schedule the sponsor portion of the administrative review.
School Food Authorities (SFAs) – Submit a Request for Health Inspection Funds
- SFAs can request reimbursement for the cost of the second health inspection conducted at schools that are approved to participate in SFSP during the current year.
- Requests must be submitted by September 1, 2023.
- For additional information and to request reimbursement, check out the Reimbursement for Health Inspection Funds form.
From Our Partners
Invitation to collaborate with the CHeFS (Child Health and Food in the Summer) Study
The CHeFS study, an independent research project funded by the National Institute of Child Health and Human Development at the University of Minnesota School of Nursing, aims to examine the potential effects of the SFSP on elementary students' nutrition and health. The study team is looking to collaborate with SFSP sponsors in the Twin Cities Metropolitan Area. Sponsors will be asked to provide information about their meal sites and help with family recruitment in 2023. Aggregated study findings and an honorarium will be provided to sponsors ($100) and families (up to $160).
