Additional login now required for Ledger link
If you use the Ledger link in LRS Workstation or Web Access, you need to provide your login credentials when you click on the Ledger link.
Previously, the report opened immediately upon clicking the link. Now, the reporting service requires that you first provide your login credentials. You will see a login window as shown here.

You can view the “Ledger” report in LRS Workstation or Web Access to determine if an invoice is paid.
In Workstation, the link to the Ledger report is on the Billings screen. In Web Access, the link is on the Billing Details tab. In both cases, clicking on the link runs a Crystal report titled "Land Records Invoice Details Report" for the selected invoice.

Adding appraisal documents to LRS
Some appraisal documents are classified as nonpublic data while real estate transactions are in-process. The Appraisal Management Unit (AMU) knows when appraisal documents become public data and can be added to LRS.
If you work outside of AMU, please do not add any appraisal documents to LRS.
AMU will add appraisal documents to LRS when the data becomes public.
Question 1: When I search for a property in LRS, what do the column abbreviations mean?
When you search for a property in LRS, using Workstation or Web Access, your search results will display several columns of information. The headers for some columns are abbreviated, and it might not be obvious what these abbreviations mean.
The first seven columns in the default column order represent the geocode for the particular property.
- CO = County
- TWP = Township
- RG = Range
- SEC = Section
- 40 = Forty code
- 40 Descr. = Forty description
- GL = Government Lot
Several of the columns farther to the right describe the interest(s) the State holds in the property.
- MIN Owned = Minerals Owned tells us whether or not the State holds a minerals interest on the property. (Note: A MIN Owned value of ‘Uncertain’ indicates that the state asserts mineral ownership but has not yet done the title research.)
- % MIN = The share of the minerals interest, expressed as a percent, held by the Party listed on the Current Interests tab of the Details: Property page. 100% indicates the party owns the whole of the interest. 50% would indicate the party owns an undivided 1/2 interest. The State holds the given interest when the Party listed is MN Department of Natural Resources. Otherwise, the given interest is held by the party listed.
- SRF Owned = Surface Owned tells us whether or not the State holds an acquired surface interest on the property, including Fee Surface, Lease In, and Easement In.
- % SRF = The share of the surface interest, expressed as a percent, held by the Party listed on the Current Interests tab of the Details: Property page. 100% indicates the party owns the whole of the interest. 50% would indicate the party owns an undivided 1/2 interest. The State holds the given interest when the Party listed is MN Department of Natural Resources. Otherwise, the given interest is held by the party listed.
- Current RRR = The current rights, restrictions, and responsibilities on the property. This column lists all of the interests associated with the property, including Fee Surface, Fee Minerals, Lease Out, Easement Out, Lease In, Easement In, and Utility License.

Question 2: How can I view documents in LRS Web Access?
In LRS Web Access, you can view documents attached to any transaction.
- Open Web Access.
- Search for a transaction.
- From the Details: Transaction tab, click on the Documents tab on the left side of the screen.
- If documents were attached to this transaction, they will be listed here.
- Click on one of the Document Types and look in the lower-left corner of the screen for the Attachments panel. Click on an attachment to view it.

Question 3: How do I use the wildcard character (*) when doing searches in LRS?
The Search function in LRS works a bit differently than a typical web search like Google. Use the wildcard character (*) when you are searching for something and are unsure of the exact format or naming convention.
Example 1: Searching for Smith in LRS looks for cases where the Name is exactly Smith. LRS will likely return no results since the first name is usually listed with the last name.
Instead, you might try searching for *smith*.
Using the wildcard character in this case will search for party names with "smith" anywhere in that name. Partial search results are shown here.
Example 2: You might be searching for North Country Trail Association. To ensure that you find all variations, you may want to search for *north country*.

Some training materials available on the LRS SharePoint site were recently created or updated.
LRS Tutorial - Update Funding Sources in Acquisitions is updated to emphasize that you should start an Update Funding Sources transaction only when you are ready to make the needed change and either complete the transaction or advance the transaction to LAM Fiscal Services, instead of suspending the transaction and leaving it in your queue.
LRS Tutorial - Attaching Documents to Transactions is updated with key information. Notably, the Document No. field has a very specific purpose and should only be used when a DNR Document Number is assigned to an executed, legal document.
LRS Tutorial - Amending Real Estate Leases is a new tutorial describing how to amend agricultural leases, earth materials leases, miscellaneous leases, cooperative farming agreements, grazing agreements, and Grant-in-Aid permits.
