The initial review of all child protection items in SSIS has been completed. This has included twelve listening sessions with case workers, mentors, and state policy staff who work on the continuum of child protection (CP) in SSIS.
A SSIS CP Review feedback meeting will be held Friday, May 3rd at 8:30 a.m. and is open to all. Click here to register. The Review process, themes, items currently being worked on, and next steps on the journey towards modernization will be shared during this time.

Agencies are reminded that SSIS is maintained by the State of Minnesota, Department of Human Services (DHS) and restricting DHS user profiles at the local level can create difficulty and delay the SSIS Help Desk when investigating questions and time sensitive issues, such as data recovery. As a rule, DHS users do not make changes to agency information but walk agency staff through SSIS issues as needed. DHS staff only review items included in an agency request. Best practice is for agencies to leave DHS user profiles in SSIS as is. Contact the SSIS Help Desk for assistance regarding user profiles, including those not created at the agency level.
The terms ‘case’ and ‘workgroup’ are often used interchangeably, however, in SSIS, while these are related and dependent on each other, they are not the same.
A Case Includes workgroups and demographic information of all clients associated with a single household.
A Workgroup Includes one or more clients within a case who are receiving services in a specific program area. Each workgroup is associated to a new or existing case when created.
The ‘Associated workgroups’ folder, within each workgroup, lists all workgroups in the same case, along with initiated or referred intakes. Best practice is to keep all workgroups in one case, when possible, and choose the existing case rather than ‘New’ when setting up a new workgroup. This ensures all workgroups appear under the ‘Associated workgroups’ folder in each workgroup. Exceptions to this are Adoption/Guardianship and Licensing workgroups which must have their own cases. Always check with your SSIS mentor or coordinator prior to making changes to current practice.
Occasionally workgroups are created in a new case when they should have been added to an existing case. To transfer a workgroup from one case to another refer to the ‘How to transfer a workgroup to an existing case’ job aid, located on the SSIS Resource page under SSIS worker documentation.
Data Integrity Reports are used to identify inconsistent client data within SSIS. Agency staff should run and review data integrity reports regularly to avoid buildup of problematic Person, Placement or Child Maltreatment records. Running the reports also improves timeliness, efficiency, and accuracy of data at local and state levels which improves federal reporting.
It is recommended that agencies run each of the fifteen data integrity reports monthly. To generate these reports in SSIS go to: Tools>General Reports>Data Integrity Reports.
Directions for resolving SSIS issues, as well as additional notes, are located at the top of each report. A No Data Found alert will appear under the report header If no issues are found, and no action is necessary.
Agency SSIS mentors and/or coordinators will be contacted by the DHS SSIS User Support Unit if reports are not generated quarterly and their agency is out of compliance.

This technical training is designed to provide an overview of data entry as related to Adult Protective Services (APS) in SSIS. An Adult Protection Resource Specialist will be in attendance during each class. Training is offered in two half-day virtual classes and designed for new adult protection workers, SSIS Mentors, and those seeking a refresher. Participants must attend both days for credit of course completion. APS Workers are encouraged, but not required, to take the online SSIS Essentials eLearning prior to taking the course.

- Review of the Adult Maltreatment Report (AMR) in the Intake Workgroup
