Effective Statewide Release Version 23.4 (v23.4), intakes in SSIS will purge if associated to an Assessment or Case Management Workgroup that has been purged when the Agency’s purge process is run. Previously, some intakes associated to a purged workgroup would appear in the Intakes Needing Action log as a closed, unassociated intake, requiring action. Agencies were previously instructed to manually delete these, however, a change in early 2023 prevented APS program intakes from being reopened and deleted at the agency level.
Intakes associated to a workgroup purged after v23.4 release will now purge and no longer revert to the Intakes Needing Action log for agencies to reopen and delete. This change, however, does not automatically correct intakes that agencies have not cleaned up on the Intakes Needing Action log. To assist agencies in identifying and addressing these intakes, SSIS Business Operations staff will be reaching out to agency SSIS coordinators/mentors in coming weeks with an identified list of intakes to be purged. Agencies are asked to respond timely to these communications so agency specific data fixes can be processed by SSIS Data Fix to purge the identified intakes previously associated to an already purged workgroup.
Agency SSIS system administrators should ensure their agency has a purge date set in SSIS administration>County preferences>General tab so Purge is run regularly. Questions related to the purge process can be directed to the SSIS Help Desk.
County and tribal nation staff must refrain from adding or making changes to Alternative Care, Brain Injury, Community Alternative Care, Community Access for Disability Inclusion, Developmental Disabilities, Elderly Waiver, Essential Community Supports and Consumer Support Grant service agreements December 1-6, 2023, or until DHS sends an all-clear email to lead agencies. DHS will enter rate changes in MMIS and run the automation process during this time.
While the new DHS system governance has included MACSSA appointed members in the System Governance Group and the Input Group, these groups are not focused on strategy, planning, problem solving or innovation. The renewed SSIS Partnership Committee will have a specific focus on decision making around modernization; data entry and paperwork reduction; and transparency and accountability. We will be working with current SSIS Partnership Chair Janet Nilsen (St. Louis County), Angie DeLille (DHS Office of Indian Affairs), DHS, MNIT, and SSIS staff to get a draft charter in place by the end of the year.
Based on information gathered at four site visits at Scott, Wright, Des Moines Valley and MN Prairie agencies, the Out-of-home Placement Plan was identified as the single most burdensome piece of SSIS “paperwork”. Our child welfare SME, Erica Jepson, partnered with Prime Academy, a school that provides certification in user experience design. Prime conducted user experience research with local agencies and proposed solutions for redesigning the form and interface. We received the results of these analyses recently and will share recommendations by the end of the year.
