In order to coordinate needed changes to fiscal interfaces, agency mentor(s) and/or agency IT staff are asked to email the SSIS Help Desk at least two weeks prior to making updates/changes to:
- Firewalls
- Passwords
- Changing out an agency server
Advance notice allows for better assistance and planning as SSIS plays a large part in this process.
Agency mentor(s) and/or agency IT staff are asked to email the SSIS Help Desk as soon as possible prior to making updates/changes to:
- Agency accounting system vendor
- Chart of Account (COA) structure
- Vendor number/structure
Fiscal interfaces are used for payment batches as well as vendor import. If there is no communication between SSIS and an agency accounting system, payment batches and vendors will not be updated.
This notification information should also be used for any changes made to the OpenLink server.
The county social service agency’s adult protective services (APS) is the Lead Investigative Agency (LIA) for all reports alleging an adult who is vulnerable has been maltreated (abused, neglected or financially exploited) and the person alleged responsible was not the provider or employee of a facility or required to be licensed by the Minnesota Department of Health or Department of Human Services. Adult Protective Services is responsible to immediately assess reports referred to the agency from the common entry point, the Minnesota Adult Abuse Reporting Center (MAARC), as the LIA responsible for assessment of the reported allegation(s), preventing further maltreatment and safeguarding the adult who is vulnerable.
The APS SSIS Module directs APS workers to select Program Type 610- Adult Protective Services. A warning is noted on page 48 of the Module which states: Do not change the program type from Adult Protection Services (APS) Intakes to Adult Services (AS) Intakes. If screened out as adult protection, you must create a new Intake under adult services program, i.e., Adult Mental Health. This applies also to the Program Type in the Assessment Workgroup. Program Type should be 610- Adult Protective Services.
In 2023, SSIS Release 23.1 will include an enhancement to the business rule for the Program Type field option to allow only Program Type 610 – Adult Protective Services to be selected when there is a MAARC report associated with the intake or assessment workgroup. Workgroups with other Program Types at the time of this release that have an associated MAARC report, will experience data clean-up errors.
22.4 release included an enhancement to SSIS General Reports for Adult Protection. The enhancement aligns the General Report for LIA County Report Action Completed within 5 Business Days for adult maltreatment with the Human Services Performance Management System (HSPM) measure for initial disposition made within 5 business days. This enhancement supports local agencies in monitoring and adjusting processes to meet thresholds of safety of adults who are referred to APS as vulnerable and suspected of experiencing maltreatment.
From the Approval Log, the approver appears to be able to save their approval information, including an edited Review Date prior to clicking “Approve”. Once the approver clicks the Action button and chooses the “Approve” option, this date will autocorrect to the current date.
This makes it especially important to ensure that workers are submitting the EPR approvals with adequate time for approvers to review and approve before the ‘Review Period To’ date. The Review date will need to be dated on or before the ‘Review Period To’ date for the EPR to be considered timely. EPRs that are not timely will result in flipped claims.
As year-end approaches it is important that host agencies of CRFs submit the following documents to the DHS Financial Operations Division (FOD):
These forms alert FOD of renewed contracts and rate changes.
Completed forms should be submitted via email to FOD.Facility.Financial.Forms.dhs@state.mn.us.
The SSIS Business Operations Section at DHS will be hosting an SSIS open discussion Tuesday, January 17, 2023, at 9:00 a.m. as part of the regularly scheduled coffee talks. This session will not have an SSIS training topic but will provide the opportunity for agency staff to ask questions, provide feedback, and share agency processes with each other. Grab your coffee, or morning beverage of choice, and join the discussion. Registration information will be announced closer to the date of the event.
