Special thanks to staff in Des Moines Valley Health and Human Services, Wadena and Anoka Counties for piloting SSIS v22.2. With their assistance the Statewide Release, which occurred Wednesday, May 25, was a success.
Pilot agencies receive priority assistance from the SSIS Help Desk, additional support during the testing period, and weekly check-in calls from SSIS staff. For more information regarding becoming a pilot agency contact the SSIS Help Desk.
Resources related to SSIS Statewide Release v22.2 have been posted to the SSIS Resource page as well as the Minnesota Child Welfare Training Academy (MNCWTA) website. SSIS users are encouraged to review this information at their convenience.
The ‘Time to Initial Contact’ report located in SSIS>General reports is not yet updated with the exemption activity or new Child Maltreatment Report exemption field. In lieu of being able to use that report to review timeliness errors and potential missed exemption entries, DHS Research staff have updated the Tableau ‘Timeliness’ report to be used for this purpose. Agencies should access this link to use, find, review, and enter missed exemptions dated 7/1/21-2/23/22. The CW timeline exemption activity is scheduled to be inactivated in V22.3 making it unavailable for use in late entries as of that release. SSIS Mentors should contact the SSIS Help Desk if assistance is needed.
As reported in SSIS Update #578, a workaround has been created to resolve an existing defect when copying Out of Home Placement Plans (OHPP) in SSIS. This defect also affects the CMH Individual Family Community Support plan (IFCSP). The defect appears when users type the Current School or Current Grade in Education Detail of the OHPP or IFCSP. This section should autofill from the Education folder in the Person node but also has the option to be typed in.
If experiencing trouble when copying either plan, check the Education detail section in the Setup tab. If something has been typed in the Current School or Current Grade in the document, delete it, then enter the education information in the Education folder under the Person node. Remember to refresh/redisplay the set up screen in the plan as well as the person/child (two green circle arrows) in the OHPP set up screen. This will allow users to copy the OHPP or IFCSP. SSIS mentors should contact the SSIS Help desk if further assistance is needed.
Prior to starting service plans, always have accurate information available and ensure the Education, Diagnosis/Conditions/Substance, and Health/Insurance folders are filled out and up to date in SSIS. This will save time and prevent copying issues when creating the OHPP or CMH Individual Family Community Support Plan.
The error message “HTMP Document Print Error: Please refresh the document before printing” displays when SSIS users attempt to print certain HTML documents after setup and editing are completed. After refreshing the document, the error message continues to appear and blocks the ability to print the document. This is happening for local HTML templates created with the Document Template Editor which do not contain an iframe, which in HTML documents is a ‘Text area’ field. There are two workarounds for this issue:
- To quickly print the affected document workers can use the editor to copy/paste the document into Word and print from the Word document; or
- For a longer term ‘fix’ the person who creates/edits documents at the agency can add an iframe (text area) box and leave it empty so workers trying to print will no longer have the issue going forward.
Steps for both options can be found on the SSIS Worker documentation page, with the Document Template Editor related links, under the ‘Tools’ section.
Efforts to identify and resolve performance issues specific to SSIS applications, and MAARC for county and Tribal agencies continue:
- SSIS Help Desk continues to monitor reports related to slowness and performance
- Monitoring of the legacy and new Horizon servers at various times of the day for issues and reports to the appropriate MNIT teams as necessary
- Daily health system meetings; all technical tickets are reviewed twice weekly
- New Horizon server farm statewide conversion project continues
- All local agencies have started to move to the new environment (some or all users)
- Project completion target: July 1, 2022
- Technical issue follow-up: incidents reported and impacting multiple agencies
- 05/02, 05/10, 05/24: Widespread inability to log in using the new Horizon farm, Users were instructed to use the Legacy systems while the incident was being investigated. HMNIT resolved same day using the disable/enable process; the issue is still under investigation by VMware.
- SSIS Performance & Stability Workgroup
- Meetings have been held every other Friday since February and include local agency, MACSSA staff, MNIT@DHS, and DHS business staff. The next meeting will be on 06-03-22.
- This workgroup is charged to identify, prioritize, monitor, and oversee work to improve performance at all levels, addressing the immediate issues and then plan for long term system performance management.
- Infrastructure Issues:
- SSIS has replaced all the production application servers with Win 2019 servers (5/27/22)
- Oracle 19c client updates are being worked on
- Adoptions database migration to Oracle 19c (05/25/22)
