The SSIS Help Desk regularly receives requests from agencies to move case notes/activities from one workgroup to another. Minnesota complies with best practices for data integrity, including only completing data fixes when reasonable and necessary. Each request takes time to review, approve and complete. Unique Help Desk requests for data fixes are reviewed weekly for existing standards, to ensure consistency and to develop a policy if needed.
Review these data fix best practices for activities and case notes:
- Requests to move case notes from one workgroup to another will not be approved if the same client participants are not in both workgroups, due to the increased risk for data inaccuracies and fiscal issues. These case notes should be removed from the incorrect workgroup and entered in the correct workgroup. (Please note that in this situation, a data fix request may be required to unlock case notes which have auto-locked after 30 days.)
- Requests to move chronology from one workgroup to another workgroup (if both contain the same clients participants) will be approved if there are 10 or more records that need to be moved.
- Person-level documents can not be moved from one person to another.
- Service plans can not be moved from one workgroup to another (the existing “Move” function allows for local agencies to accommodate this work if needed)
To expedite your request:
- Include a description, including why the request is necessary and reasonable.
- Include document numbers, workgroup numbers and a date span, if applicable.

Adult Protection and the SSIS training unit is excited to announce the release of the Structured Decision Making and Standardized Tools video series. The five videos cover the SDM® and Standardized Tools used in SSIS to support APS consistency in service response to maltreatment reports and in assessments for intake, safety, and service planning with vulnerable adults and their primary support persons.
Each video provides an overview of the purpose of and a demonstration of how to create and complete it. All videos are available through TrainLink, have no prerequisites, and can be viewed in any order. The video titles and course codes to search are:

Adult Protection Structured Decision Making (SDM)® and Standardized Tools for Adult Protection includes structured and standardized tools, required by statute, to support APS consistency in service response to maltreatment reports and in assessments for intake, safety, and service planning with vulnerable adults and their primary support persons. The tools should be used in conjunction with the Guidelines and Procedures Manual and the Minnesota Adult Protection Policy and Procedure Manual found on the DHS Adult Protection site.

An issue has been discovered with hyperlinks for the Minnesota Revisor website within External Documents. When selected on from External Documents, a web browser opens with the message “This page can’t be displayed.”
The workaround for this issue is to copy the link and paste the link in a browser to access the website. No other similar issues are known at this time and there is no anticipated resolution date.
Do you have new mentors at your agency? Are there new technical staff that should be contacted regarding technical/IT issues? Please send updates to the Help Desk for your agencies for mentors, workers, fiscal and technical. Include any areas of focus each mentor might have. Having up-to-date information about mentors will help us communicate more effectively.
The Family First and Prevention Services Act (FFPSA) requires that all staff working in a Title IV-Group Children’s Residential Facility (CRF) receive fingerprint-based “Adam Walsh” background checks in order to meet Title IV-E child safety requirements.
To assist counties and initiative tribes with claiming Title IV-E reimbursements for these placements, we will periodically update the list of facilities that have met the background checks safety requirements.
