Register now for the SSIS Mentor Forum

The joint Worker and Fiscal SSIS Mentor Forum is scheduled for Nov. 5 in St. Cloud. Click here to view the tentative agenda. A New Mentor Orientation will take place from 8:00-8:30 a.m., followed by the main agenda items. The Forum will be held at Holiday Inn St. Cloud, 75 South 37th Ave., St. Cloud, MN 56301.

SSIS data recovery best practices

Service plans, workgroups, case notes, documents and other SSIS data types may be recoverable if accidentally deleted by the worker or lost due to a system error. In the event of data loss, contact the SSIS Help Desk as soon as possible to ensure the best chance of restoring the data. A data recovery team will work to restore the data but cannot guarantee full restoration.

TIP: Save early and often. Although most SSIS screens save automatically, using the save action can prevent lost data. If an SSIS document is never saved, it likely cannot be recovered. Since November 2018, more than 80 percent of requests to restore documents were unsuccessful because the document was never saved by the worker.

SWNDX outage on Friday, Oct. 18

A SWNDX outage will occur on Friday, Oct. 18 from 4:30-5:30 p.m. for routine maintenance.This outage will affect SSIS and MN Choices users. Users must logout of SSIS applications by 4:30 p.m. and can return to work after 5:30 p.m. No all clear message will be sent.


Reminder: Run Data Integrity Reports regularly

Local agencies are now responsible to run Data Integrity Reports. We recommend local staff run each of the reports on a monthly schedule to avoid any buildup of problematic issues. These reports are used to identify inconsistent data on clients within SSIS. The 15 reports are located in: Tools>General Reports> Data Integrity Reports.

Previously, these reports were sent to local agencies in January and July. Local agencies completing this independently should make the process easier and improve timeliness, efficiency and accuracy of data at local and state levels and improve federal reporting.

If local agencies do not run these reports at least quarterly, SSIS mentors or coordinators will be sent a reminder by SSIS staff.


Annual password update

The SSIS claiming interface will be unavailable Oct. 17 and 18 for MN-ITS annual password updates which will allow claiming interfaces to continue between SSIS and MMIS. The effect on agencies should be minimal. Normal operation of the claiming interface will resume Monday, Oct. 21. If issues arise after that time, contact the SSIS Help Desk.

Please note: This process only changes SSIS user accounts for county MN-ITS mailboxes. Agency users have their own user IDs and passwords to access their MN-ITS mailboxes that are not affected by the SSIS password change.


SSIS External Review Team for enhancement requests

Requests to add or modify features of SSIS are called enhancement requests and are regularly submitted to the Help Desk by counties and tribes. Each quarter year an external review team consisting of county and tribal representatives will review, approve and prioritize each enhancement request. The review team has recently received the requests from last quarter. They will submit their recommendations to DHS by the end of this quarter and will communicate their assessments to counties and tribes.

Where: The UnConference will feature several access points, both virtual and in-person, across Minnesota.

When: The week of Nov. 4 through the week of Nov. 22

As we strive to build on the vision of “One Minnesota,” we recognize that often the best learning is a direct result of connecting with one another.

This year, in addition to highlighting state-led trainings and conversations, the UnConference will focus on facilitating professional development opportunities for child welfare professionals to communicate with other county and tribal child welfare staff across Minnesota, as well as within local regions.

Seeking volunteer agency to pilot SSIS V19.4

DHS is seeking one more volunteer agency to pilot the upcoming SSIS V19.4 release. The pilot dates are Oct. 30 through Dec. 4. Changes in this release include:

  • Time Records will now allow Telehealth as a place of service or contact method.
  • ICWA Data Clean-up updates.
  • Adult Maltreatment updates.
  • Updated Placement Removal Conditions.
  • Updated Continuous Placement Permanency Plans.

Beltrami County, Wadena County, and Yellow Medicine County piloted SSIS V19.3 in August. During the pilot period, these counties tested new features and the main application to ensure everything worked properly. We appreciate their effort and dedication to assisting us before the statewide release.
