These are the ICWA records that are finalized, and the worker listed is “ZZ-Help Desk, SSIS/DHS X”. These records were created by the system based on the answer to the “Qualifies under ICWA” question on the Person screen, and were meant to preserve that historical ICWA information. At the time, plans were to discontinue the use of that field on the Person screen and possibly remove it. Those plans have since changed, and the “Qualifies under ICWA” question on the Person screen continues to be utilized for the Child Foster Care Report for children in Continuous Placements that started prior to 01/01/2019.
With the implementation of new data cleanup messages around ICWA requirements, those ICWA records created by the system are reportedly creating unnecessary confusion for workers. SSIS will be deleting those system-created ICWA records beginning on July 5th, finishing by July 12th.
The release date for SSIS V19.3 has been changed from September 3rd and 4th to Wednesday, August 28th. All county and tribal agencies will receive the release on this one day due to centralization. More information to be provided closer to the release date. An updated release calendar is now available for download.
SSIS is seeking pilot agencies for V19.3 beginning July 31st through August 28th. Pilot agencies assist SSIS with testing out new and updated features and fixes during the pilot month. They receive weekly teleconference calls with SSIS staff available to assist them. Early SSIS pilot training is available. Pilot agencies receive priority assistance through the SSIS Help Desk. It is also possible to do a local agency visit during the pilot period.
These are the highlighted items that are to be included in this release:
- The ICWA/MIFPA Genogram (Tribal Lineage) document updates
- ICWA Data Cleanup additions
- New Petition filing date entry for termination/modification of parental rights
- Adult Maltreatment updates
- AFCARS Removal Conditions updates

Earlier this legislative session the Governor signed legislation that extends the program IM funding for CRF IMDs through June 30, 2019. Included in the Governor’s budget proposal and included in the House omnibus budget bill is the authority to fund CRFs that have been declared IMDs on an on-going basis. This legislation has since passed and CRF IMDs are currently funded in perpetuity via state funds. SSIS system related changes are not needed, agencies should continue billing as usual.

Bulletin #19-32-04 was published April 30th, 2019. The Basic and Supplemental rates are effective July 1, 2019 through June 30, 2020.
Title IV-E Foster Care Per Diem Rates & Percentage Report was published June 20, 2019. The Group Facility rates were effective on April 1, 2019.

The My Caseload folder under Workgroup Searches can contain a lengthy list of workgroups. It is easy to add or change information in the wrong workgroup selected in the list.
To prevent this, right-click on the selected workgroup icon to access the Action Menu. Select Open with Case in New Window. All workgroups associated with the case display. Expand and work within the appropriate client workgroup.
Another benefit to open with case in new window, you can view information collected data inclusive of all workgroups as an overview. Just expand the Case Details folder.
- The first folder that displays is Case Clients. This includes all clients from all workgroups together. Collaterals are not listed.
- The Case Relationships folder contains all documented relationships regardless of what relationships were entered in individual workgroups.
- Court Actions contains all court records entered for all participants in the workgroups.
- The Workers folder gives a historical record of all primary and secondary workers.
- Insurance policies lists all non-MA insurance records entered for clients.
- The Fiscal Details folder displays all Service Arrangements, Service Agreements, Payments, Healthcare Claims, Child Foster Care Claims, RCA Claims, and RCA Payment Worksheets entered in each workgroup. This provides the ability to view, for example, all payments that have been made on behalf of the entire family.
Enter new Relationships, Court Actions, Workers, Insurance Policies, and some of the Fiscal Details under the Case Details folder. The only place to enter a duplicate court action for a sibling is at New Court Actions under the Case Details folder. Update the court action screen as needed and complete the Child Findings tab for the sibling.
Entry under Case Details back-fills into the individual client’s information.
