MnCHOICES access being removed from SSIS

On Feb. 1, the MnCHOICES team sent an email notifying mentors and users about an issue with launching MnCHOICES Assessment (MnA) from SSIS and using the ampersand (&) in passwords between MnA and SSIS. Using the ampersand in passwords in this situation caused an error message and the user was not able to log in to MnA. In that email, we noted that we would look into removing the MnA link from SSIS and notify you when the decision was made. The MnCHOICES team and the SSIS team have confirmed that they will remove the MnA link from SSIS in the V19.2 statewide release.

Details of the removal:

  • Date of removal: May 28 or 29 (half of the agencies on each day).
  • This release will remove the MnA link from SSIS and users will not be able to access MnA from SSIS after May 29.
  • Users will only be able to access MnA through the MnA link after May 29.
  • The removal of the MnA link from SSIS does not remove MnA connection to SSIS.
  • Lead agencies still need to use SSIS to get user IDs and passwords to validate users logging in to MnA.

SSIS centralization update

The SSIS centralization project involves the transition of SSIS from local agency databases to a VMWare Horizon virtual desktop client. This project is progressing and all but seven previously centralized agencies and some Horizon preview testers have been migrated to Horizon. The remaining centralized users will be transitioned by the end of May. Preparation will begin in May to implement Horizon statewide in June, July and August. Specific dates for these conversions are being coordinated and scheduled.


IMD extension approved

State funding for Institutions for Mental Disease (IMD) has been granted a two-month extension through June 30, 2019. SSIS changes will not take effect until July 1, 2019, assuming no short-term or long-term agreements are reached. See Q1 2019 Fiscal Memo for additional information.

Reminder of changes to HCPCS/Modifiers

Effective March 5, 2018 certain HCPCS/Modifiers can no longer be claimed to MMIS with dates of service that include a span. Each day of service must now be claimed individually. Therefore, Payment Requests must be entered with a single date of service. The changes to waiver claims will be implemented in SSIS V18.2 to prevent claims from generating if the payment request has a date span. For questions, contact the SSIS Help Desk.


SSIS fiscal staff update

Molly Koehler has been hired as a SSIS Fiscal Subject Matter Expert in the SSIS Business Operations Unit. Molly was previously employed with Carver County. SSIS Fiscal Subject Matter Experts work closely with state, county and tribal partners to ensure that SSIS meets fiscal policy and program requirements and provide onsite technical assistance as needed. Contact the SSIS Help Desk with fiscal-related questions or requests for technical assistance and they will be forwarded to the fiscal team for review. 


Reminder: Invitation for agency input on 2020-2021 BRASS codes

Friday, May 3 is the deadline to recommend changes, deletions or additions to the 2020-2021 BRASS codes. Submit recommendations to Heide Moris. Recommendations will be reviewed by the BRASS Committee beginning May 22, 2019.


Reminder: Data Integrity Reports move to Tools/General Reports

Local agencies are now responsible to run Data Integrity Reports. We recommend local staff run each of the reports on a monthly schedule to avoid any buildup of problematic issues. These reports are used to identify inconsistent data on clients within SSIS. The 15 reports are located in: Tools>General Reports> Data Integrity Reports.

Previously, these reports were sent to local agencies in January and July. Local agencies completing this independently should make the process easier and improve timeliness, efficiency and accuracy of data at local and state levels and improve federal reporting.

If local agencies do not run these reports at least quarterly, agency mentor or coordinator will be contacted by the SSIS Business Operations Unit and reminded that their agency has to run these reports.


SSIS tip: Password rules

The following are the rules and limitations for SSIS user passwords: 

  • Passwords cannot contain a form of the user ID, e.g. first or last name.
  • The minimum number of password characters is eight. 
  • The maximum number of password characters is 20. This may be different with MnCHOICES Central Security.
  • Passwords must contain at least one upper case letter, at least one lower case letter, a number, and at least one special character. The characters are ‘#’, ‘+’, ‘=’, ‘&’, ‘$’, ‘_’, ‘-‘, ‘@’, ‘!’, and ‘?’. No other characters may be included. MnCHOICES does not allow the use of an ‘&’ in Central Security.
  • Passwords cannot be reused initially. They may be reused at a later date. The system will let you know if this is acceptable at the time.
  • Passwords expire every 30 days and users are locked out after 90 days. Users will start receiving a message 7 days prior to the expiration date that their password is expiring.

The next SSIS Repository upload will be May 28, 2019 for agencies that are not yet centralized.

Note: Agencies no longer need to email the DHS Help Desk or other MNIT staff when monthly uploads have been completed. If an upload is not completed by the deadline, MNIT staff will reach out individually.
