SSIS V18.4 release materials

ICWA Tab and Qualifies under ICWA

In the 18.3 SSIS Statewide release the new ICWA tab was implemented in SSIS. For those workers that have started completing the ICWA tab as their practice, at this time we ask that you also continue using the "Qualifies under ICWA" indicator for reporting purposes. The Child Foster Care Report uses that indicator for Child Counts and for calculating Tribal FMAP. Updates to the Child Foster Care Report will be included in a future release.


SSIS data recovery best practices

Although rare, data might be lost while being actively worked on in SSIS. For example, a case worker may be entering a case note in an activity and the data might disappear or might be inadvertently unsaved and staff are not able to retrieve it. In some instances, if MNIT@DHS data recovery staff are notified immediately, they may be able to recover the lost data. However, there is no guarantee that the Data Recovery team will be able to recover the lost or deleted data.

TIPS: Save early and often! Although most screens do have automatic saves, saving a document or item in SSIS can save you from potential lost data.

How to report:

If this situation happens, contact the Help Desk at dhs.ssishelp@state.mn.us as soon as possible. In the subject of the email please put “Recovery”. This will route the request to MNIT@DHS data recovery staff.

Please include the following information for the quickest processing:

  • A brief description of the event including the name of the staff who lost the data and what they were working on.
  • Workgroup number
  • SSIS person id (if you were working with a document related to a specific client)
  • Approximate time data was lost/deleted

2019 SSIS Monthly Upload and State Reporting Schedule

All non-centralized agencies who can complete a “create upload file” read without receiving an AUTO-COPIER related error need to complete one repository upload by the 25th of every month. Uploads may be completed before the due date, but should be done as close to the 25th as possible to include necessary data (such as the latest monthly foster care payments for AFCARS).   Uploads completed on or after the 21st of the month are acceptable.  If the 25th is on a weekend or a holiday, the upload is due the next working day after the 25th.

For centralized agencies, and non-centralized agencies who can no longer complete a “create upload file” read due to receiving an AUTO-COPIER related error:  state staff will complete the new upload process no earlier than the day after the posted due date. 

Child Welfare Dashboard updates (Federal performance measures and State performance measures) will be made by the 15th of each month and include data from the previous monthly upload.

State Reports are submitted separately from the monthly repository uploads and can be submitted before the due date. If the due date is on a weekend or a holiday, the report is due the preceding business day.

The next SSIS Repository upload will be December 26, 2018 for agencies that are not yet centralized.

Note: Agencies no longer need to email the DHS Help Desk or other MNIT staff when monthly uploads have been completed. If an upload is not completed by the deadline, MNIT staff will reach out individually.
