SSIS Statewide Release v24.3 has been postponed one week and is now scheduled for Wednesday, August 28 from 6:00 – 8:00 p.m. for all agencies except pilots. This decision was made due to critical issues found during pilot which will be corrected prior to the release.
Statewide Release information, including What’s New, Release Notes, and a Known Defects report, is currently available on PartnerLink. Final release documents will be updated next week.

The first of several new or updated repository errors will be included in Statewide Release v24.3. The first repository error is a new error, #4100, “Current Education record required”. This error will help agencies identify children in a continuous placement who are missing an up-to-date Education record.
The error will appear if the placement qualifies as an AFCARS placement and the continuous placement ‘discharge entry date’ is within the repository run time frame. This error will display for children in placement who have either:
- No Education record; OR
- The last education record is more than a year before the continuous placement close date or more than a year before the current date (if still open).
Updates to the SSIS worker repository will be occurring in upcoming releases. As new repository errors are implemented, the expectation is that emails pertaining to that item will no longer be necessary to assist agencies with identifying these issues. Instead, the SSIS repository, which should be run at least monthly, will be the primary tool to assist agencies in identifying missing information or errors needing to be entered or corrected for AFCARS.

When there is not enough information to clear a client in SSIS the status should not be changed to ‘uncleared client-do not clear’ to remove the client from the Clearing Log. When changed to this status clients are not searchable in Person search. The only time this status should be used is when there is no information identifying a client AND no additional effort will be made to identify them.
For coordination of needed changes to SSIS fiscal interfaces, agency mentor(s) and/or agency IT staff are asked to email the SSIS Help Desk at least two weeks prior to making updates/changes to:
- Firewalls
- Passwords
- Changing out an agency server
Advance notice allows for better assistance and planning as SSIS plays a large part in this process.
Agency mentor(s) and/or agency IT staff are asked to email the SSIS Help Desk as soon as possible prior to making updates/changes to:
- Agency accounting system vendor
- Chart of Account (COA) structure
- Vendor number/structure
Fiscal interfaces are used for payment batches as well as vendor import. If there is no communication between SSIS and an agency accounting system, payment batches and vendors will not be updated.
This notification information should also be used for changes made to the OpenLink server, including both username and password. Contact the SSIS Help Desk prior to making changes or if there are questions regarding this process.
September’s SSIS coffee talk has been scheduled for Tuesday, September 10 at 9:00 a.m. The topic of the month will be Adoption: Pre/Post Identity – What to do and when with guest presenters from DCYF Child Safety and Permanency.
Registration is required and will remain open until the event begins. All SSIS users are welcome to attend. The presentation will be recorded and posted to the MNCWTA SSIS Training site, along with the PowerPoint and related material, seven to ten business days following the event.

The SSIS Help Desk email address has changed to dcyf.ssishelp@state.mn.us due to the transition to the newly established Department of Children, Youth, and Families (DCYF) effective July 31, 2024. The SSIS Help Desk will continue to be available to all SSIS mentors, supervisors, and IT personnel. There is no change in support available to adult programs including Adult Protection.
The old email address will continue to work for the time being allowing time for web pages to be updated with new contact information. Local agencies and state partners are asked to use the new address effective immediately.

The SSIS Adult Protection Worker course follows the life of an adult vulnerable to maltreatment case starting with the intake received from the Minnesota Adult Abuse Reporting Center (MAARC) through the assessment and closing of a case. This is a technical training designed to provide overview of data entry as related to Adult Protective Services (APS) into SSIS. Adult Protection policy staff are also available during each class. Training is offered in two half-day virtual classes and is designed for new Adult Protection workers, SSIS mentors, and for those seeking a refresher. Individuals will need to take both days for credit of course completion. New workers are encouraged (not required) to take the online SSIS Essentials eLearning prior to taking the course.
The SSIS Essentials eLearning includes two APS specific courses:
- SSIS APS Essentials 104A: Exploring APS Intakes
- SSIS APS Essentials 104B: Exploring APS Assessments.
APS workers should take these two courses instead of SSIS 104: Creating an Intake. APS Essentials courses and other APS eLearning resources can be found on the APS eLearning Suite site.
