Tips & Tricks for the Filer
In December 2024 we switched over from the county-run MiFILE pilot program to the state-run, state-wide version of MiFILE. While the interface looks similar, there have been many changes behind the scenes for individuals filing through the MiFILE system. The State of Michigan SCAO (State Court Administrative Office) has provided several resources to help guide individuals filing in the new system. Below are some resources that you may find helpful when navigating the new MiFILE system.

 So You Made a Passport Appointment, Now What?
We understand that one of the more daunting parts of the passport process is preparing for the appointment. Here is our simplified list to help you be prepared for your passport appointment!
The base items for any passport are as follows:
- Fill out your DS-11 U.S. Passport Application. Print your completed application for your appointment.
- Obtain an original copy of your birth certificate or Naturalization Certificate.
- Bring your photo ID.

Passport photo - We can take that for you! It is only $10.
- A check or money order made payable to the US. Dept. of State for the passport fees.
- Payment for your application processing for the Ottawa County Clerk which can be cash, check, or card.
Some circumstances require additional documents or requirements for your appointment:
- If you have had a name change, whether through marriage or court order, you will need to also bring a certified copy of your marriage certificate or court order.
- Applicants under 16 years of age need to have both parents or legal guardians present during their appointment to sign for their passport. Parents/legal guardians must present their photo id at the appointment as well.
- Applicants 16-17 to have one parent or legal guardian present during their appointment to sign for their passport.
- Any parent or legal guardian signing on behalf of a minor must have and present their photo identification at the appointment as well.
