Entering an accurate employee Social Security number (SSN) is extremely important. ORS has received an increase in calls and emails from reporting units due to incorrect SSNs.
When reporting new employees to ORS, first check whether they are already in the retirement system (see RIM 7.06.01: Determining a member's benefit plan). If they are new to MPSERS, always verify their SSN before keying in and saving their information on a DTL 1 record.
Entering the correct employee SSN will:
- Prevent your reporting unit from having to do additional adjustments to DTL2 and DTL4 records when you have reported someone under the wrong SSN.
- Reduce delays in the employee’s retirement plan election process.
- Allow employees to sign up for their miAccount using the most accurate information.
If it is a common practice for your reporting unit to request a copy of each employee’s SSN, please be sure you are entering the numbers exactly as they are provided. If you have any questions about the number, even just a specific digit, please verify it with your employee.
ORS has produced a short video, Choosing Your Retirement Plan, for employees who are new to MPSERS. It briefly explains the two plans, encourages them to actively choose the plan that best fits their situation, and walks them through what to expect from ORS.
The video, less than six minutes long, complements the existing guides found on PickMiPlan.org.
We encourage you to share this video with new employees as soon as they are hired. You might show it in a new employee orientation or share a link to it in an email. The video link can also be found on our Resources for New Members page.
We recently updated the Report Totals screen that appears on the Reporting website after you accept a report. In addition to showing your report totals for Total DB and DC contributions, it now also shows Total Member PHF Contributions and Total Employer PHF Contributions.
The additional lines appear on both the Previous Report Totals and the Current Report Totals sections of the screen. They were added in response to feedback from reporting units.
When returning audit documents or other files to ORS, please note that we can only accept attachments to emails. If we receive an email with a link to access a file rather than an attachment, we cannot access those files. You may need to convert the document to a PDF and attach the PDF.
If you have an option to use “end-to-end encryption” when attaching files, please do not choose encryption. Some email platforms, browsers or systems may be set up to automatically encrypt file attachments. But if these systems require ORS to log in to a site to access attachments, it causes problems, and we’ll contact you to resend it as an attachment.
ORS will not request that you send sensitive or personally identifiable information (PII) in attached files. We use the File Transfer Service for files that contain PII, both for uploads and downloads.

We ask you to encourage all employees, especially those close to retirement or getting ready to retire, to check their years of service in miAccount. For security reasons, members will use MILogin to access miAccount. It is important that members verify that their service credit is correct, and they will have enough service credit by their planned retirement effective date.
Employers can only make adjustments to a member’s active service credit before the member’s retirement effective date.
