MSDS: EOY 2023 General Collection Important Dates

  • June 20: Mid Collection analyses for the EOY General Collection. If you wish to have your data reviewed, please submit your data by 11:59 p.m. EDT on June 19, 2023
  • June 23: CEPI will host a virtual office hour session for the EOY General Collection from 10 to 11 a.m. This session will provide an overview of the MSDS 2023 EOY Checklist, with the majority of the time being open for districts to ask questions regarding their EOY submissions. Pre-registration is not required for the drop-in session. To join, click the following link, or use the call in options:
  • June 30: Certification deadline at 11:59 p.m.

MSDS: Early Roster Collection Opens June 12

The 2023-24 Early Roster Collection will open on June 12.

This collection is used to submit projected student enrollment for public schools. Data are used to create direct certification reports.

CEPI recommends public school users submit Early Roster records for all newly enrolled students and students who have had a change in building assignment between the EOY General Collection and the start of the next school year. Once the school year begins, report enrollments through the General or Student Record Maintenance collections.

MSDS: 2022-23 Third Grade Retention Collection is Open

The 2022-23 Third Grade Retention Collection is now open in MSDS. Students who are subject to retention per the Read By Grade Three law must be reported in this collection with a retention decision. For additional information, an FAQ document has been posted to the web page under Help & Training.

Important 2022-23 Third Grade Retention Collection Dates

  • July 25 (Mid 1) and August 18 (Mid 2): Data quality checks performed on data submitted before these dates
  • Sept. 1: Third Grade Retention Collection Certification Deadline

MSDS: Nonpublic School Student Roster Collection Opens June 12

Nonpublic schools participating in the National School Lunch Program are required to submit their entire student enrollment, including new enrollees and existing students, in the MSDS Nonpublic School Student Roster Collection. These data are used to update the direct certification report of children who are automatically certified for free school meals. The report will be refreshed throughout the school year. REP: Resource Reminder and Important Dates

June 30: EOY 2022 REP data are due to CEPI. In compliance with MCL 380.1230e, please be sure to report all employees in REP. This includes substitute employees and those serving in ancillary roles, like tutors, where they may be alone with children. Doing so allows MDE to contact districts in the event an individual's criminal history updates following initial fingerprinting.

June 27: CEPI will host REP Office hours from 10 a.m. to Noon.

The REP web page has helpful resources to assist in completing the submission.

REP: Substitute Teacher Reporting

All substitute teachers must be reported in REP. The “00SUB – Day-to-day substitute teacher” assignment code should be used for daily placements only. While the State Superintendent waived the 90-day limitation on Daily Substitute permits for 2022-23, reporting for REP and TSDL remains the same. Details for this reporting can be found in the TSDL and REP Best Practices Guide.

When placing substitute teachers in long term assignments, acting as the Teacher of Record, the individual should be reported with the content area they are placed, regardless of the their credential.

SID: Deadline Reminder and Office Hours

June 30: 2023 SID data are due to CEPI by 11:59 p.m.

The collection is considered complete when all buildings have the green check mark status, indicating that the school’s submission is complete for all SID fields. The red “x” indicates that a school’s submission is not complete.

Note: SID data captures incidents "at school," which includes:

  • In a classroom, elsewhere on school premises, on a school bus or other school-related vehicle, or at a school sponsored activity or event whether or not it is held on school premises.
  • Conduct using a telecommunications access device or telecommunications service provider that occurs off school premises if the telecommunications access device or the telecommunications service provider is owned by or under the control of the district or PSA.

June 15: CEPI will host SID Office Hours from 10 a.m. to Noon.

CEPI Application Security Access Removal

Reminder: When an employee with access to CEPI applications leaves your district, you must submit a CEPI User Removal Form to remove that employee’s application access. Completed removal forms can be sent to cepi@michigan.gov.

MI School Data Secure Access

To gain access to secure information on MI School Data or modify your existing access, contact the appropriate K-12 Technical Contact or College/University Keyholder for your location. They will provide the necessary security forms and add the applicable user role and permissions to your account.
