Follow Child Care Voucher Absence Procedures
If a child will not be attending your program for two weeks or more, families can request a gap in their vouchers. This must be requested the week before the gap period starts. Gaps in care should only be processed if you have approved of this change, as there will be no payment during the gap. You are not required to hold the spot for the child without payment.
Families may choose to use their absence days to cover these extended breaks to pay and hold their spot. The family should submit something in writing to agree to the use of absences during this time. The child's vouchers will terminate at the end of the week if the child reaches 40 absence days. If a child has a chronic medical condition or long-term hospitalization, families can submit a statement from their physician documenting the condition. The statement should include the need to miss more than 40 days due to an ailment. These will be reviewed, and if approved, the child's absence totals will be paused. This does not apply to normal illnesses or injuries where absences should be recorded.
Per policy, absences cannot be used to cover a family's two-week notice. Families should be encouraged to give proper notice and to continue to have their child attend your program during this notice period. Families and providers are encouraged to monitor absences regularly on their attendance portals. These are updated each time a provider submits their attendance periods. Absences more than 60 days in the past will not be eligible for appeal or credit.
Notices are sent to families and providers after the child has missed 10, 20, 30, and 35 days. Families are encouraged to contact their provider when excessive absence notices are received so any discrepancies can be addressed immediately.
