Reminder About Social Media Archiving

Social Media Archiving, powered by CivicPlus, is the State of Iowa's vendor to archive applicable social media accounts for all agencies.

Social media archiving ensures that all posts on social media are archived for legal compliance, especially if an agency needs to prove that content was removed due to a policy violation.

If you receive an email stating your account has been disconnected, please click the link and reconnect your account. It's simple and usually only requires a click and possible login.


Enhancements

New Archived Files Link and Listing Page

Agencies must ensure that archived documents meet the accessibility standards set by the Web Content Accessibility Guidelines (WCAG) Version 2.1, Level AA. This requirement applies to all web content provided or made available by state and local governments, including mobile apps.

To qualify as archived content, documents must meet four conditions:

  1. The content was created before April 24, 2026, the date state or local government must comply with this rule, or reproduces paper documents or the contents of other physical media (audiotapes, film negatives, and CD-ROMs for example) that were created before the government must comply with this rule, AND
  2. The content is kept only for reference, research, or recordkeeping, AND
  3. The content is kept in a special area for archived content, AND
  4. The content has not been changed since it was archived

New or previously archived documents

  • Any document created after April 24, 2026, and added to your website must be remediated. This includes PDFs, word processor file formats, presentation file formats, and spreadsheet file formats.
  • If you make any changes to a previously archived document after April 24, 2026, it must be remediated.

Accessibility: Use Bold Instead of Quotations

Many people use single quotes or double quotes on websites to emphasize words or phrases. Quotations can be confusing for users with disabilities, especially those who rely on screen readers. Screen readers saying left quote, right quote can be annoying and interrupt the reading flow.

Bold text provides a clear and consistent signal of importance and is easily understood by all users. Consider eliminating the use of quotations around words or phrases whenever possible. Instead, it’s recommended to bold the word or phrase. Quotes are still ok to use when indicating direct speech or titles.

Did You Know?

Did you know using OCR to scan a document and save as a PDF does not make it accessible? When you scan a document, the format is really a photo. You can then use the OCR (Optical Character Recognition) feature in Adobe Acrobat or similar tools to recognize the text. This is the next step before tagging them appropriately so they are accessible to all users.

New and updated training videos are being added monthly to the DOM DoIT Digital Experience YouTube Channel and linked within DX Training site pages. You can subscribe to the channel to be notified when new videos are added, including Qualtrics training videos.

Weekly Content Manager Office Hours

Need help or have website questions? Join our live office hours every Thursday from 1-2 p.m. CST. No registration is needed - simply click the live meeting link available on the Training Courses and Open Office Hours page during the scheduled time. Sharean Morishita will be there to assist with troubleshooting, platform refreshers, or any other questions you have.

MSF&W Accessibility Weekly Office Hours

Every Wednesday at 9 a.m. CST you can ask MSF&W's accessibility experts your questions. If you are having trouble figuring out how to fix a table or form or need help understanding appropriate alternate text, just pop into the meeting. No reservation is required.
