Q&A of the Month
Q: How do I submit the Level III or IV Self-Assessment Categorization Application (SACA) and supporting documents for state trauma verification?
A: The SACA and all supporting documents will be emailed to Sarah Eason, the Trauma System Coordinator, at sarah.eason@hhs.iowa.gov.
- Files are preferred in .pdf format
- Microsoft Word and Excel documents are acceptable; however, macros and other security guards may need to be removed so they can be accessed
- If files are saved to a compressed (zipped) folder, be sure not to extend the file pathways by too much, which may present issues for the end-user when attempting to open (i.e. do not save a zip file into another zip file because the file pathways become too long to open)
- It is not uncommon to have to send multiple emails with attachments due to file size
Trauma Tip of the Month
When reproducing documents borrowed from partner hospitals, remember to change and customize shared policies (ex: different campuses or network hospitals) to reflect your facility's name and processes. When the trauma verification survey team is reviewing documents, it is important that what is written reflects the actual resources and processes at the trauma center under review.
ImageTrend Patient Registry: State File Extension Updates
For facilities that are uploading their trauma registry to ImageTrend via their third party registry, the following is a very positive update.
In order to accurately calculate all the current System Evaluation and Quality Improvement Committee (SEQIC) Indicators, our epidemiologist at BEMTS worked with ImageTrend in through 2024 to ensure that on the round of updates to the state file extension for 2025 would include critical upgrades for SEQIC. Now, the following fields will be submitted via third party upload starting January 2025, in addition to those that are already being sent:

In addition to those elements listed above, ImageTrend will now accept the Incident Created On date/time value from the primary system that uploading facilities have documented. This is a major change, as before 2025, ImageTrend has documented the Incident Created On date/time value as the date and time that facilities upload incidents.
With all these fields in addition to those already being sent, BEMTS will be able to accurately calculate SEQIC for all facilities in the state, and achieve more accurate state-wide estimates of data quality and trauma system/facility performance.

Trauma System Advisory Council (TSAC)
Iowa's Trauma System Advisory Council (TSAC) consists of seven voting members and serves in a leadership role to develop and support the trauma system. The committee provides recommendations to Iowa HHS on issues and strategies to achieve optimal trauma care delivery throughout the state. The committee meets quarterly, on the third Tuesday of the month from 1:00 - 4:00 p.m. Any trauma partners and colleagues are encouraged to attend. These meetings regularly have 100+ participants, which demonstrates impressive statewide trauma system engagement.
