Please note: This notice is being sent to all designated administrators for each company. If you are receiving this notice, you are listed as one of the company's designated administrators in IRFS (which includes the company's financial statement contact). Only the company's designated administrators can update the company's contact information in IRFS. For security purposes, OIR cannot update IRFS account information on behalf of a company.
Data Call Overview
As authorized by section 624.307, Florida Statutes, the Florida Office of Insurance Regulation (OIR) requests companies update their company’s contact information. Contact information is used by OIR for continuity of operations purposes before, during, and after disasters. Contact information is also published on the OIR website as a resource to the public.
All companies should verify their contact information and make any applicable updates.
For security purposes, this year, OIR requests that each company review the IRFS accounts that are presently approved to file on behalf of their company. The company is responsible for monitoring and approving IRFS accounts that subscribe to make filings for their company.
If this is the first time the company is using IRFS, the company’s financial statement contact must go to IRFS and select “Create an account” then subscribe to their company using the Entity Management link on the top right menu bar before updating contacts or reviewing filers.
Filing Deadline
All companies licensed in Florida should ensure they have updated contact information on file with OIR.
Filing Deadline: Friday, May 9, 2025, 11:59 p.m. ET
Company contact information and IRFS accounts can be continuously updated throughout the year.
How to Update Company Contacts
Please use the Insurance Regulation Filing System (IRFS) to enter or update contact information. IRFS contact updating instructions can be found here.
Registered users should log in to IRFS and take the following steps:
- From Entity Management, select Update Contacts.
- Enter your Claims Website, Phone Number and Email Address under the Claims Information for Policyholders tab. Click Save.
- Go to the Office Contacts tab.
- Select the plus sign to expand the Catastrophe Lead panel, enter the information and click Save.
- Select the plus sign to expand the Disaster Response Coordinator panel, enter the information and click Save.
- Select the plus sign to expand the Accounting Contact panel, enter the information and click Save. Accounting contact information will be used by OIR for the purpose of providing invoices to the company for payment.
- Repeat steps 1-6 for each company.
How to Review IRFS Accounts Approved to File for the Company
IRFS Entity Management instructions can be found here. Log in to IRFS and take the following steps:
- From Entity Management, select Administration.
- Select Access Administration. The Requests tab shows any pending Access Requests. The Associated Accounts tab shows all accounts associated with the company and their access. Review both tabs.
- Use the search options to limit results. Click on the column headings to sort the results.

Active accounts can file for the company. Inactive accounts cannot file. Revoked or Blocked accounts cannot request access to file for the company. Admin accounts can manage other accounts for the company and update company contacts. Select the edit sign to change the Account or Admin Status and click Save.
- Select Filing Management to view and reassign filings created and submitted by IRFS accounts for their company.
