Description

Staff Assistant for Division of Hunting and Game Management; Hunter Safety and Tenoroc Public Shooting Range

Duties

Courteously assists Commission constituents to resolve questions or problems they may have in matters relating to the Commission, its programs or fish and wildlife conservation, generally.  Seeks to garner public support for agency objectives and programs by serving Florida’s citizens in a positive and proactive manner.

 

Assists the Regional Hunter Safety Administrator in facilitating the regional Hunter Safety program as well as all other programs overseen by the Hunter Safety section.  Assists the agency and the Division by working as a team member in the regional service center.  Assists with other shared duties in the regional office.

 

Processes purchasing cards for the Hunter Safety Section and Tenoroc Public Shooting Range.  Maintains hard copy of expenditures through the use of program charge codes.  Electronically reconciles credit card purchases in accordance with established procedures and time frame.

 

Prepares, composes and tracks correspondence relating to scheduling courses, acquiring facilities, coordinating dates, times and locations for courses, and advertisement of courses.  Provides information on course schedules to the public and maintains pre-registration list of participants.

 

Courteously assists staff and public with policy and procedure questions relating to the legal requirements for Hunter Safety and the use of Tenoroc Public Shooting Range. Advises interested individuals on agency policy and procedure questions relative to becoming a Florida Hunter Safety Instructor.

 

Researches, assembles and inputs data to produce reports for certification documentation of course participants.  Assists in the preparation of various federal aid reports through surveys of Hunter Safety graduates and collection of information from other program elements.  Maintains data file and procedures report of hours donated to the Hunter Safety program, range volunteers, and other programs by volunteers.  Compiles inventory reports and makes projections of material and supply needs for programs hosted in the region.

 

Maintains hard copy and electronic files of all course participants and number of hours donated by volunteer instructors involved in Hunter Safety, volunteer Range Safety Officers, and other programs associated with the section.  Maintains hard copy of files for tracking property assigned to volunteer staff.

 

Assists the Tenoroc Shooting Range manager by conducting and preparing monthly inventory reports for range merchandise, prepares a monthly reconciliation report for the Tenoroc Shooting Range, and sends the monthly tax report to the Wildlife Foundation.  Prepares contracts, collect revenues, and tax documents for sporting clay tournaments.  Organizes the sporting clays and Tenoroc classroom digital calendars. 

 

Presents a positive image of the section and the agency by courteously answering telephone questions and communicating with the public on a daily basis to provide information and assistance with customer problems.  Solves student problems related to navigating the Hunter Safety Internet course and ensuring proper enrollment in the appropriate Hunter Safety course.  Handles incoming and outgoing mail, including opening and distribution and answering common questions.  Prepares, issues and mails training materials to Hunter Safety instructors.

 

Performs other related duties as required.

 

 

Knowledge, Skills and Abilities: 

  • Must be computer literate in MS Word, Excel, PowerPoint, Point of Sale, and other related financial and record-keeping support software.
  • Must be able to work independently, utilize problem-solving techniques, and plan, organize and coordinate various work assignments at two different locations.
  • Must have a knowledge of hunting and hunting related rules and regulations.
  • Must be able to maintain a positive attitude.
  • Must be able to communicate effectively with a diverse group of people.
  • Must be able to establish and maintain effective working relationships with others within the agency.

 

Minimum Qualifications:

  • High School diploma or equivalent.
