STMS is Live!

Hello DCF Team,
The new Statewide Travel Management System (STMS) is now live and ready for use! This system is a first-of-its-kind, cloud-based application through Salesforce for employees to seek travel authorizations, approvals, and reimbursements to FLAIR, Florida’s accounting and financial management system.
All travel reimbursements that have not been submitted to the Accounting and Shared Services Center (ASSC) by today’s date must be submitted via STMS. If the travel reimbursement form has already been routed or is currently in transit to the ASSC, it will be processed via the former paper or digital process. Beginning Tuesday, May 26, 2020, hard copy travel reimbursement forms will no longer be accepted by the ASSC and will be returned to the traveler for submission to STMS.
To Do:
- Watch the training tutorials provided by DMS for your respective role(s)
- View the Quick Reference Guide for login instructions
- Ensure that Google Chrome is installed for use with STMS
- View the DCF STMS webpage for updates and previous correspondence
- Review the User Listing spreadsheet to ensure access has been given (if required)
Those employees who are not listed on the User Listing spreadsheet, but require access to STMS should complete the attached DCF Form No. 0142 – Access Authorization Request for Statewide Travel Management System. Please email the completed form to the STMS Agency Administrator at HQW.STMS.Administrator@myflfamilies.com. Also, if there are any discrepancies concerning the assigned role and/or supervisor, please email the STMS Agency Administrator for correction.
Approvers:
Please log-in to the system and set up a Delegate Approver as soon as possible. The Delegate Approver will have the ability to approve trip forms in the event of your absence. Please note that the system will not notify the delegate that a form is queued for approval, so be sure to communicate your intended absences with your assigned delegate.
Instructions for Assigning a Delegate Approver can be found on page 89 of the STMS User Manual.
All Users:
As of today, the STMS Team will begin hosting a daily Microsoft Teams meeting from 9 – 10 am (ET). If you have watched the appropriate training tutorials and have questions or need clarification, please join the meeting during the allotted time to chat with the team. We have also attached an STMS User Manual for your reference.
