Updated COVID-19 guidance has been posted
Human Resources has updated two important documents for the COVID-19 Resource Center: Updated FAQs for COVID-19 and Guidelines for ADOT Employees during COVID-19. Both documents can be found under the Employee Resources heading and as attachments at the end of the page. Make sure you review the documents with your team members. Also, HR is sending an email message to all employees that announces the updated documents this afternoon.
Use It or Lose It
With only four months left before the end of the calendar year, Human Resources reminds managers and supervisors to review and discuss with your direct reports the use of annual leave. Make sure you check annual leave balances to determine if any excess leave is projected. Remember, any excess carryover of more than 320 hours for uncovered employees and more than 240 hours for covered employees will be subject to forfeiture. The Arizona Department of Administration has advised all agencies that employees should not count on any extension or approval of excess leave being allowed to carry over into 2021.
Employee Engagement survey is coming
In yesterday’s ADOT Connection, Director Halikowski outlined the importance of the annual engagement survey and how employee feedback is used in decision-making and providing direction for the agency. He is relying on managers and supervisors to make sure team members complete the survey and are honest with their feedback.
ADOA is administering the annual survey which runs from August 17-28. Using a new survey tool, Qualtrics, employees will receive the survey link directly. Make sure your team members do not share the link with consultants who work at ADOT – the survey is for ADOT employees only. Let us all strive for 100% participation.
Kaizen 2021 Challenge is here
The Office of Continuous Improvement announces the Kaizen 2021 Challenge goal of 7,200 kaizens. Every employee is being asked to complete one kaizen on their own. A kaizen can be big or small, eliminates waste in our processes and is documented through standard work. Team or collaborative kaizens are also encouraged. Last year, only 61% of employees individually documented a completed kaizen.
If you have team members who struggle with the concept of kaizens, OCI encourages you to use 1:1 Coaching sessions to help team members identify process waste, ask questions, problem solve and find solutions using the problem-solving methodology of Plan-Do-Check-Act. Every effort made to reduce waste in our processes improves our ability to serve our customers.
Fast Facts’ debut is almost here
A new website that features key facts about ADOT makes its debut at the end of this month. Fast Facts is designed to highlight critical ADOT measures. It serves as a one-stop shop for information. The website features information from the transportation divisions of IDO, TSMO and MPD, plus information on ECD and MVD. Communications will be responsible for keeping the website up-to-date. We’ll share the Fast Facts Web address when the site is complete.
New resource for 1:1 Coaching meetings
To support ADOT's goal of increasing the effectiveness of 1:1 Coaching conversations and to assist supervisors in developing their team members, the Office of Continuous Improvement has posted a new video.
The 1:1 Coaching video helps understand ADOT’s standard process for formal 1:1 coaching and uses open-ended questions to develop problem-solving skills. Viewers observe two team members, utilizing the 1:1 Coaching Worksheet, to facilitate a coaching session and ensuring important issues are covered appropriately. LinkedIn Learning helps with employee development
LinkedIn Learning is here to help with employee development. It is a repository of more than 16,000 online courses and videos taught by industry leaders, with new courses added every week. Examples of course topics include customer service, project management, video production, and computer software including Google Suite, career development and much more. Employees who are interested in having access to a LinkedIn Learning account can request one from their supervisor. LinkedIn Learning requests are processed on a first-come first-served basis.

Years of service recognition has changed
The Awards and Recognition Office announces the 25+ years of service recognition events are now monthly and being presented virtually. It is important that ADOT continues to recognize and thank these long-standing state employees for their contributions in providing a valuable service to the people of Arizona.
If you have any team members who reach these service milestones, encourage them to participate in the presentations and complete any requests for information.
National Clean Up Day for Adopt A Highway program
National Clean Up Day is scheduled for Saturday, Sept. 19. The event supports our Adopt A Highway’s “Keep It Grand” effort to keep our state roadways clear of litter. This national event encourages Adopt A Highway litter groups, as well as non-AAH groups, to pick up trash in their communities and be recognized for their efforts. Everyone is to adhere to preventative measures to mitigate the spread of COVID-19, i.e. keeping social distancing, limiting work groups of 10 people or less and wearing facial coverings. Our Adopt A Highway program collaborates with the Districts to issue permits for groups to work along our roadways.

Distribution of quarterly posters
ADOT Communications will continue to print and mail a limited number of posters to offices statewide. With more employees teleworking or limiting office visits than before, the plans are to also have a printable version on ADOTNet and an announcement in ADOT Connection.
