Current AIM Data Collections:
End of Year Enrollments, End of Year Attendance Totals, and End of Year Program Participation (May 4th, 2020 - June 19th, 2020)
The End of Year Enrollment Process and End of Year Attendance Totals collection opened on May 4th, 2020 and will close on June 19th, 2020. We have recorded several webinars to help with these collections. Please visit our OPI/AIM website webinars page to view a list of these and other helpful webinars designed to assist you with data collections. We have also updated all of the collection AIM user guides, so please be sure to have a look at those changes to be sure you using the most up to date user guides.
In addition to the enrollment data in AIM, program participation data also generates funding for your school. Updating your students program data in a timely/regular manner is important in order to maximize districts’ federal funding dollars.
Behavior Validation and Certification Collection (May 15th, 2020 - June 30th, 2020)
Behavior reporting is open throughout the school year, however the window to validate and certify any Behavior Reports for this school year is May 15th, 2020 through June 30th, 2020. We have recently updated and migrated all of the Behavior AIM User Guides from the User Guides by Topic area to the User Guides by Collection area in our AIM User Guides section of the OPI/AIM website. Please review those changes to make sure you have the most up to date user guides before reporting this data.
We also recorded a Behavior Collection Webinar to assist with the validation and certification processes in AIM/Infinite Campus, as well as how to set up users to complete these processes.
Special Education Exiting (May 11th, 2020 - June 30th, 2020)
The window for reporting Special Education Exiting data opened on May 11th, 2020 and closes on June 30th, 2020. Please ensure that completed IEP's and ER's are locked and that Special Education Exit Dates and Exit Reasons are current in AIM/Infinite Campus. Please confirm the correct Exiting list by 6/30/2020. For questions regarding this collection, please contact Anne Rainey in the Special Education department; emailing is preferred.
Please help us welcome Gerrad Bohl to the AIM unit at OPI! Gerrad joined us in February and is settling right in. He is glad to be the friendly voice on the end of the phone line and emails when you need help with AIM/Infinite Campus. Gerrad is also leading most of the AIM webinars to help districts with data collections and has helped make many updates and changes to the OPI/AIM website.
The OPI/AIM website has had several changes and updates to help you gain access to more useful information. Take a few minutes to navigate through the website and make note of some of these important changes:
AIM Current Data Collection Status: Weekly data collection updates shared with the districts pertaining to collections that are currently in process.
AIM District Contact Form: This form has been updated so we can obtain the most accurate contact information for your school or district. We will also be posting a report on a regular basis so districts can view their list of contacts as they are currently in our system.
AIM/OPI Email Subscriptions: We have migrated this wizard to the bottom of our homepage. Please be sure to subscribe if you are new to your school or district.
AIM User Guides: We are nearing completion of updating our AIM User Guides. We have grouped them into two categories: User Guides by Collection and User Guides by Topic. Please spend some time reviewing these as 95% of them have had significant updates.
AIM Webinars: We have begun hosting and recording webinars to help with the various AIM data collections that occur throughout the year. These are posted to the AIM Webinars page, the most recent recording will appear at the top.
AIM Webinar Schedules: Also located on the AIM Webinars page are calendar schedules of all of the planned webinars we intend to host. Currently, there are no webinars scheduled for the remainder of the 2019-20 school year, however, we have posted the schedule for the 2020-21 school year. The first webinars will begin in August 2020, including a webinar for uploading student photos and setting the 'Opt-In' status.
AIM Infinite Campus Update Schedule: We have also added the Infinite Campus Update schedule for quick reference and convenience.
AIM Montana Edition Upload Templates: To reflect several changes and updates occurring this summer within Infinite Campus, we are updating the Montana Edition Upload Templates on 7/17/2020. These will be not be updated until that date, which is when the Infinite Campus 2016 & 2020 release's are being implemented. If you have previously saved these upload templates to your computer, please be sure to visit the template web page on our AIM/OPI website to review the new templates after the Infinite Campus updates are taken on 7/17/2020.
Reviewing the student information stored in Infinite Campus should be done throughout the year and not just during collection windows. Below are a few housecleaning items that will help schools to follow best practices and are recommended to be done at the end of each month.
Enrollment Overlap - ANB funding may impacted by student's with overlapping enrollment dates.

Federal Chronic Absenteeism - This report is only accessible to District Edition users. Montana Edition users of Infinite Campus can contact the AIM Help Desk and we can get a report sent to you through ePass.

State Published Ad Hoc Reports - Many reports are available to check the accuracy of your data.
- PATH: Index> Ad Hoc Reporting > Filter Designer > + State Published
*Please be sure to run the State Published Ad Hoc report COHORT Missing District Date 1st Entered 9th Grade, to be sure those fields are populated. It is also important that graduates have their Graduation tab filled out.
*NOTE: As a friendly reminder, we ask that districts and schools do not email any student personally identifiable information (PII), including names or student IDs to the OPI or AIM Help Desk. Please call AIM support staff directly for assistance with individual student PII or use the ePass MT system for secure transferring of student data files. See the ePass MT link on our AIM web page for sending these types of files.
- At this time the OPI AIM team is planning to take the Infinite Campus release's (2016 and 2020) on 7/17/2020. This update will include changes such as NCES course code updates for 2020-21 school year for District Edition users, as well as updates which will require new upload templates for Montana Edition users. These templates will be updated to our AIM Upload Templates web page after the release updates are implemented on 7/17/2020. Changes also include a reformatting of the Enrollment Tab so that some items are removed from the Flags Tab and relocated under the Enrollment Tab near the Spring and Fall count fields.
- The OPI AIM team is ready to bring student photos into the state level of AIM/Infinite Campus for access by the MT Department of Justice for identifying missing children. (This is as per Senate Bill 40, effective July of 2019). Only the student photos whose parents have ‘Opted In’ will be available at the state level of AIM/Infinite Campus. This process is now available to all Infinite Campus users and we are ready for districts to gather 'Opt-In' values so that photos are accessible to the Department Of Justice staff. Please see our new Student Photo Repository AIM User Guide for more information and instructions for this process. The AIM Unit is hosting a special training webinar for the Department Of Justice Staff this June and will be hosting a separate webinar for districts sometime in August. We are working on getting a report for the districts to use as well.
