Members Fall Meeting Thursday, October 23 from 1-3 pm
Reminder that the MSC Members Fall Meeting is this Thursday, October 23 from 1-3 pm. The meeting will be held online via Zoom. Meeting materials and the Zoom link are posted to the ASPeN event page.
Members meetings are open meetings, and all interested are encouraged to attend. Minimally one member from your library or district should plan to attend.
Ticket System Update
Since we transitioned to our current ticket system last year, there have been adjustments to our internal ticket procedures. Generally, if MSC staff have sent a response that we think resolves a ticket and receive no response within a month, we will close the ticket. This has been our standard practice though we have extended the time period slightly, and you do not need to change how you respond to tickets. But unlike our previous ticket system, ServiceNow sends an email to everyone on the ticket when it gets closed and that has occasionally caused some confusion. Additionally, we are cleaning up some old resolved tickets from shortly after the transition that did not get closed at the time. So, we wanted to let you know why you might see a closed ticket email about old cases.
Automated Clean-Up
Starting in November, MSC staff will start sending any item marked Claims Returned for greater than 180 days through the Process Lost report which will break the connection between the user and the item. This new step will allow for items to be more easily managed by staff. Patrons will not be billed for these items and will not have a LOSTITEM note placed on their account. Items will be updated to both the item status and home location to 'CLAIM-RET'. This new step does not affect the claims returned counter in the patron's account.
Library staff should use the 'CLAIMS RET List' report in BLUEcloud Analytics (BCA) to find/manage these items. This report can be found in the following folder pathway: Shared Reports > Cataloging > Catalog Clean-Up reports. We recommend setting up a recurring email subscription monthly to manage these items. Please note, this new process is an addition to the current monthly automated report that sends any item in a CLAIMS RETURNED status greater than 3 years to DISCARD.
Also, in November, MSC staff will start moving items in system statuses that have had no activity for 3 years or more to DISCARD. The BCA report 'Automated System Cleanup - Monthly' should be used to see what items may qualify. This report can be found in the following folder pathway: Shared Reports > Cataloging > Catalog Clean-up reports. System Maintenance Tuesday, October 21 at 9:00 pm
The system will be undergoing maintenance on Tuesday, October 21 beginning at 9:00 pm for approximately 2 hours. WorkFlows will be unavailable during this window.
MSC Office Hours Holiday Schedule
Office Hours are on a modified schedule for the upcoming holiday months. For November, December, and January we will hold Office Hours one day per month rather than our typical two days per month. Each day will still have a session at 10:00 am and at 2:00 pm.
