We are happy to report that GEARS made all payments successfully (nearly 400!) on July 3, 2023.


Accessing and using those reports - your questions answered

We are receiving a number of questions about accessing and using the GEARS reports. As promised, we will use the newsletter process to get as much information out as quickly as possible to as many agencies as possible. If there are multiple people within your agency that used the CARS reports and will now use the GEARS reports (but who are not receiving the GEARS newsletters), please share this information with them and encourage them to sign up for the GEARS newsletter.

How do I access my GEARS-603, -620 and Payment reports?

From the GEARS webpage, select CARS/GEARS Reports/System Messages.

From the right-hand side of the page, select the GEARS Report of interest.

Select the Expense Processing Date of 2023-06-23 when retrieving your GEARS-603 or GEARS-620 Reports.

Reminder: No leading zeros on agency numbers

When using the GEARS data queries, please do not include any leading zeros in front of your agency number. The GEARS reports will not recognize the agency number as valid and will not pull up your reports.

Agencies should not enter leading zeros for the GEARS agency number when preparing and emailing expenditure reports (form F-00642). A few agencies have done that. However, the leading zeros are not necessary, and GEARS will not recognize them. 


A busy July, but easier with your help!

We expected that making a change of the magnitude of moving to GEARS would result in a busy July. That is proving to be true. We appreciate your help letting us know when things don’t seem to be working properly. And we really appreciate your patience as we develop and provide updated information on how to use GEARS or make further improvements to the GEARS system.
