Criteria 14(i)

Applicable to level III and IV facilities, type 2 deficiency

Criteria: The TCF must have a strategy for monitoring the validity of the data entered into the trauma registry.

Education and Clarification: There is no one specific strategy to validate your registry information. It is suggested to establish a validation plan to ensure continuity.

Utilize reports from ImageTrend Patient Registry to guide your re-abstractions and quality of data through pre-made reports, including:

  • Data feedback report
  • Cases with low validity created more than 1 month ago
  • Percentage of completed records with 90% validity
  • Demographic report – data completeness (for multiple data elements)

Re-abstraction of records:

  • Re-abstract 5–10 percent of patient records.
  • If available, a different staff member than the incident creator should review the abstractions. This can be the trauma medical director, trauma program manager, trauma registrar, or other trauma program staff.
  • If no other staff member is available, wait 6 months after record is complete to re-abstract.
