Site Calendar Revisions
Most calendar revisions require approval. To ensure that site data on the United States Department of Agriculture (USDA) Summer Meal Site Finder Map is up-to-date, sponsors must submit meal service time revisions by 5 pm Friday to allow for review and approval before the USDA deadline. The Summer Meal Site Finder and the Hunger Free Washington summer meals text line is updated every Thursday throughout the summer.
Please plan accordingly. OSPI may not be able to accommodate late or last-minute submissions.
Site Closure Reporting
If any approved SFSP sites will no longer operate, please notify your SFSP Specialist immediately so OSPI can close the site in WINS. Accurate records help ensure compliance with program regulations.
Claiming
Monitor site participation and make necessary adjustments to the Average Daily Attendance (ADA) in WINS prior to submitting a claim. Remember, sponsors who use an FSMC/Vendor must adjust ADAs before the claim goes into error status.
Meal Service
Any changes to mealtimes and/or service days must be approved by OSPI. Maintain communication with site staff to ensure meal times and service days are up-to-date.
Ensure each meal service takes place within the approved WINS mealtime.
Staff Changes
All site supervisors, staff, and volunteers must be trained according to their role before they assist with SFSP operations.
Update new staff in your WINS site application as soon as possible.
Age-Appropriate Meal Patterns
Because SFSP meal patterns are designed for children ages 6 through 12 years old, sponsors have flexibility to offer age-appropriate meal patterns. For children ages 12 through 18, sponsors may serve larger servings than the minimum serving sizes specified in the meal pattern or serve extra foods beyond the minimum meal pattern requirement. Sponsors may also choose to follow the Child and Adult Care Food Program (CACFP) adult meal patterns for children ages 12 through 18. Please note that meals containing larger portions or extra food are reimbursed at the same rate as regular SFSP meals.
For children under the age of 6, sponsors may request approval from OSPI to serve smaller serving sizes as long as each age group receives the minimum serving sizes from the respective CACFP child food pattern. Sponsors must receive OSPI approval to serve meals to infants (birth through 11 months of age), which must follow the CACFP infant meal pattern. For questions about age-appropriate meal pattern flexibility, or to request approval to adjust serving sizes for children under the age of 6 or infants, please contact your assigned SFSP specialist.
Welcome to the team, our new Lead Supervisor, Angela Amico!
Angela Amico (she/her) joins OSPI as the Lead Supervisor for SFSP. Prior to joining OSPI, Angela worked on SNAP-Ed, a program that promotes healthy eating and physical activity among people eligible for SNAP, with the U.S. Department of Agriculture and the Washington State Department of Social and Health Services. Previously, Angela worked as a senior policy associate with the Center for Science in the Public Interest, where she focused on the Dietary Guidelines for Americans and healthy options in institutional food service settings. Angela received her Master of Public Health from New York University and her Bachelor of Science in Nutrition from California Polytechnic State University in San Luis Obispo. Angela loves to bake and spend time outdoors all year round, whether gardening, kayaking, running, or skiing and snowboarding.

As summer meal operations continue, some sponsors have reported milk shortages. If you're unable to obtain the required type or amount of milk for your program, here’s what you can do:

Document the issue: Keep a record of your communication with suppliers and delivery attempts. Include dates, vendor emails, and any order confirmations.

Notify your SFSP specialist immediately: Your specialist is here to help you problem-solve and maintain program integrity.

Discuss allowable flexibilities: In some cases, temporary flexibilities may be available. Your specialist can guide you through any potential waivers or alternative options.
We know navigating shortages while feeding kids is no small task. Your assigned SFSP specialist is your best resource to walk through your options and ensure you're staying in compliance while serving nutritious meals.

All meals must be served at approved sites with approved dates and times.
We know summer brings special activities, including field trips If your site is planning a field trip and will serve meals during that outing, you must notify OSPI by the close of business the day before the field trip. Use the Submit a Field Trip Notification form on the SFSP Requirements and Materials page.
Field trip locations are considered temporary sites. All standard SFSP rules apply, including required training, meal count accuracy, and food safety practices. When planning field trip meal service, be sure to:
- Conduct a point-of-service meal count at the time meals are distributed.
- Ensure staff conducting the count have been properly trained and that training is documented.
- Address any potential food safety concerns (e.g., transport, temperature, etc.).
If your organization will have 30 or more field trips with meal service this summer, you may request the Running Field Trip Log to simplify your reporting.
