This Special SFSP/SSO Update is your guide to SFSP, SSO, and Summer Meals Grant Application resources! Please read thoroughly and reach out to your assigned Summer Meals specialist with any questions that arise.
Reminder: New SFSP/SSO Sponsors or Those with a Gap in Participation
If your organization will be applying to participate in SFSP or SSO this year for the first time or your organization operated SFSP/SSO in 2023 or earlier, but chose not to operate in 2024 (gap in service) complete the following steps prior to beginning the SFSP/SSO Timeline Tasks below.
- Visit our New Sponsors OSPI webpage and read the information under the Summer Food Service Program (SFSP) dropdown.
- Complete the New Sponsor Questionnaire. Use the New Sponsor Questionnaire Checklist to collect the documents needed to complete the questionnaire. Information entered in an unsubmitted or incomplete survey will be lost.
- Once a New Sponsor Questionnaire is received, the SFSP Program Supervisor will contact you. Start early. It can take up to a month to be approved.

2025 Summer Meal Programs Timeline

1. SFSP/SSO Application Components: Available March 3.
WINS Application & Survey are available for sponsors to complete.
2. SFSP/SSO Annual Training: Available March 3.
Summer 2025 SFSP and SSO required annual training will be available only as online learning modules in Canvas. Training modules open March 3. Canvas login information can be found in the application checklist or on the Summer Food Service Program Training
3. Summer Meals for Kids Grant Application: Available March 3
Grant funding is available for returning SFSP sponsors in good standing. Find application materials on the ”. Please see the article in the 2/24 S.S.T.A.R. newsletter for details.

OSPI will offer advanced training sessions that will count towards, but not fulfill, SFSP Annual Training requirements.

Engaging Your Staff in Professional Learning – Best Practices in Planning and Facilitating: This session will be a hands-on exploration of learning strategies that you can take back and put into practice with your staff the next day! You’ll leave with resources and ideas about how to better engage your staff in training opportunities, help them retain what they’ve learned, and a plant to put those strategies into action.

SFSP Meal Pattern Compliance Training: This advanced course offers a comprehensive overview of the SFSP Meal Pattern, focusing on common compliance challenges. Participants will explore frequent issues and learn effective strategies for addressing them. Through practical exercises, attendees will have the opportunity to apply their knowledge and strengthen their skills in identifying and correcting meal pattern discrepancies.

SFSP Monitoring Training: This session provides a comprehensive overview of SFSP Monitoring requirements, including the 5-day meal count reconciliation process and follow-up visits to address deficiencies. It clearly describes the roles and responsibilities of monitors and sponsors, offering practical tips and best practices from experiences sponsors to ensure effective oversight. Learn strategies for scheduling, documentation, and the use of training tools to streamline monitoring activities and maintain compliance with program regulations.

1. Suggested Application Submission Deadline of April 30 for June SFSP/SSO operations.
Sponsors who plan to begin SFSP or SSO operations in June should have their application submitted by the end of April to ensure approval by June.
May
1. One month left to submit SFSP or SSO Applications and Complete annual training requirements in Canvas
June
1. SFSP/SSO Application Submission Deadline June 1.
SFSP or SSO WINS Application & SFSP Survey must be submitted no later than close of business June 1, 2025. An application submission is not an automatic approval to operate SFSP or SSO. Summer feeding operations should not occur prior to receiving an application approval if you want to claim reimbursement for meals served. Please plan your application submission accordingly. OSPI has 30 days to provide an application approval once an accurate and complete submission has been submitted.
2. SFSP/SSO Application Submission Federal Deadline June 15
This is a firm, no exceptions deadline for accepting and approving SFSP/SSO applications based on federal guidance. SFSP/SSO application submissions received after June 1, 2025, will only be reviewed and approved on a case-by-case basis.
