HCA Optional Long Term Disability Corrections for Opt-Out Employees
OFM became aware of an issue for employees who opted out of Optional Long-Term Disability (LTD) during the 2024 open enrollment. The selection to opt out was not processed properly in Benefits 24/7 and employees were still charged LTD premiums.
HCA is currently auditing and correcting employees who opted out of Optional LTD and were still being charged. Processing the corrections began this morning. OFM has manually updated the employees on the side of HRMS to ensure employees receive their appropriate refunds and will continue to work closely with HCA to ensure the audit is processed smoothly. This means processors will need to pay special attention to payroll this period.
Important Action Items
- Employees receiving the Optional LTD refund will have unexpected retroactivity.
- It is IMPARATIVE agencies check the Payroll Cutoff Errors to ensure these employees do not have an error. If your employee(s) have an error, please attempt to correct it using the appropriate guidance:
- If you are unable to correct the error, immediately send an email to HeretoHelp@ofm.wa.gov. Cease making changes to the employees and provide all relevant information.
- Payroll related reports will easily identify employees receiving these refunds tomorrow morning. Some reports that may be helpful are:
Withdrawn Employees
- Withdrawn employees may require a Cost Distribution to cover the entire time-period they are withdrawn. If this is the case, this will be indicated by a RPCIPE error on the Payroll Cutoff Error list.
- Employees who are withdrawn may need additional master data updates to ensure they do not have a payroll redline, please ensure you are checking every Payroll Cutoff Error list.
- You may need to contact employees who are withdrawn to ensure their Bank Details and Addresses are still valid.
