MyPortal Address Reminders

OFM has made improvements to the MyPortal My Address instructions to offer important tips and reminders as you update your address. Changing your address through MyPortal does not qualify as notifying your employer of an address change. You must ensure you are following your internal agency policy for address change notification. Address changes in MyPortal are updated within 24 hours in the HR/Payroll system.

Deadlines for MyPortal Address Updates

Payroll Checks - Depending on timing, payroll checks may not be updated prior to their mailing. If you receive a paycheck by mail, ensure address changes are entered by the last day of the previous month for the 10th payday or by the 14th of the month for the 25th payday. See MyPortal My addresses procedures for examples.

W-2s - For W-2s, address updates must be made by December 31st each year. If you miss this deadline, immediately contact your HR or Payroll office for assistance.   

Prior to updating your address, it is recommended to refer to USPS Lookup Tool to ensure accurate entries. Address lines should be limited to 30 characters or less due to downstream systems requirements. Examples of this are the Department of Retirement Systems and Health Care Authority systems that the HR/Payroll system sends address information to.

Modern Work Environment (MWE) Requests

There’s been an increase in errors related to MWE requests. The cause of the errors is editing a request after it has been submitted to your supervisor for approval. If you have previously submitted a change that is pending approval, do not submit another change until the previous request has been Accepted or Rejected by your supervisor. Editing a request that has already been submitted will result in the request locking and your supervisor, HR, or Payroll teams will need to contact the OFM Help Desk to delete the request prior to resubmitting. If you have a request that is pending approval, you will see the current status and requested status and a message that indicates your record has been submitted for approval.
