WHAT’S NEW?
OFM is excited to announce the new MyPortal My Modern Work Environment (MWE) tile is now available to all employees.
WHAT DO THESE CHANGES MEAN TO YOU?
Employees can now view their current Telework, Flex Work, and Compressed Workweek settings as well as the participation eligibility of their assigned Position using the new My Modern Work Environment tile.
They can also request changes to their Telework, Flex Work, and Compressed Workweek settings. Their supervisor will receive and review their request then approve or reject the changes within MyPortal using the My Inbox tile.
Approved changes to Telework, Flex Work, or Compressed Workweek settings in MyPortal will automatically be updated in HRMS on the Telework/Flex Work (Employee) (9106) infotype. Changes will not impact an employee’s established work schedule on the Planned Working Time (007) infotype nor will it impact payroll.
A separate communication has been sent to HR Directors/Managers, along with a draft MWE communication template for employees, to encourage agency HR shops to communicate your internal implementation plan with your staff. Please understand employees will not be able to change their Telework, Flex Work, or Compressed Workweek without supervisor approval.
Note: This new module is not expected to replace internal agency policies or processes, or ongoing communication between the employee and their supervisor. Discussion with their supervisor should occur prior to requesting any changes.
WHO CAN REQUEST MWE CHANGES AND WHO CAN APPROVE CHANGES?
All employees have the ability to view and request a change to their employee MWE settings and all supervisors/managers can approve/reject a MWE request from an employee if they are appropriately set up in HRMS.
The MWE approval workflow is based on the supervisor and employee position relationships in HRMS such as “is line supervisor of” or “reports to” position. A program automatically assigns the SR3P_MSS_LEAVE_APPROVER_FIORI role to a position if there is an active Position to Org ”manages” (A012) or Position to Position “is line supervisor of” (B002) relationship set up on the position at the time the program runs. Agencies do not need to send a request to the OFM Help Desk to have the role assigned to a position. If there is a role assigned and there is no longer an active Position to Org “manages” (A012) or Position to Position “is line supervisor of” (B002) relationship the role will automatically be end-dated when the program runs.
While MWE approvers share the same SR3P_MSS_LEAVE_APPROVER_FIORI role as MyPortal leave approvers, they are not set up the same in HRMS. The MyPortal leave approval workflow is based on the chief relationship (Position to Org Unit) “manages” or “is managed” relationship.
Multi-Filled Supervisor Positions: Please ensure the approving supervisor is appropriately identified if a supervisor position is multi-filled in HRMS. See user procedure Multi-Filled Supervisor/Leave Approver Position - Copy and Update Record for more information.
Reporting: Agencies can use the Employee Duty Station Report (ZHR_RPTPA805) to view employee MWE data. Use variant SWV-MWE.
