New HRMS Security Role – Employee Inquirer
HRMS has been enhanced with a new security role called the Employee Inquirer role. The Employee Inquirer role grants users the ability to view a specific employee’s current and historical Organizational Assignment (0001) infotype data in a new Employee Org Assignment History report at a statewide level (see additional report information below). This role was created for people who need view only access to an employee’s position, job, personnel area, or other select information housed within the Organizational Assignment (0001) infotype. Adding this security role will eliminate granting processor roles to users who only need view access to an employee’s organizational assignment history.
The HRMS Role Request Form and the HRMS Decentralized Role Definition Handbook have been updated on the HRMS Support Hub. Agency HRMS Security Requestors or HRMS Security Contact Authorizers may begin requesting this role within their agency immediately. Please ensure you are following the proper process when requesting a new role.
Employee Org Assignment History Report
Users with the Employee Inquirer role will have access to organizational assignment information only by running the new Employee Org Assignment History Report (ZHR_RPTPA808). A new user procedure has been created and can be found in the Reports > Personnel Administration section of the HRMS Support Hub. Employees can be searched by name, personnel number, or social security number. Please note that searching by the social security number will result in a longer runtime. If a user would like to ensure they receive the employee’s full HRMS history, the dates of 01/01/2006 through 12/31/9999 can be used. The report will provide the following information:
- Full Name
- Employment Status
- Business Area
- Personnel Area
- Personnel Subarea
- Employee Group
- Employee Subgroup
- Work Contract
- Position
- Job
- Organizational Unit
- Org Key
