URGENT UPDATE

It was discovered this afternoon there were approximately 10,000 additional records within HRMS that had not been corrected within the new files. HCA is currently working to get corrected files to OFM prior to payroll processing this evening. We expect these corrected files to arrive between 5 and 7 p.m. and will immediately load them into HRMS before running payroll.

UPDATE

HCA has completed the process of sending new files to replace the LTD records with incorrect rates. All employees who did not previously opt-out of LTD now reflect the correct rate within HRMS. In addition to these corrections, the maximum salary has been increased from $10,000 to $16,667 per month.

2022 Long Term Disability Rates

Effective January 1, 2022, the PEBB sponsored Long Term Disability (LTD) insurance rates changed and employees were automatically enrolled unless they had previously opted-out of the program. When the new rates were loaded between the Pay1 and HRMS systems, the rate entered HRMS as 0.0060 for all employees who had not opted out. This rate is incorrect. Employees should have been updated to one of two rates:

Health Care Authority (HCA) is in the process of sending new files to be loaded into HRMS to replace the current records with the incorrect rate. The OFM HRMS team will process these updated files as they are received to correct employee rates.

It is important to note that the new rates did not process in payroll period 1/2022, so there has been no impact to employees with the incorrect rate. All employee records will be corrected prior to processing payroll period 2/2022.

Once OFM has processed all corrected files from HCA, the OFM HRMS team will cross check to ensure there are no employees who still have the incorrect rate of 0.0060. If any employees are identified during this process, OFM will reach out to agency payroll offices individually to provide the necessary steps for manual correction. In addition, OFM will send an updated communication once all of the corrected files have successfully been completed.
