New HRMS Communication Subtype
On June 16, 2021, a new HRMS communication subtype was added to identify employees who will need access to Workday Financials.
What is the WD1A Communication Subtype?
WD1A is a new subtype option on the HRMS Communication (0105) infotype. This field identifies employees who will need access to Workday during the One Washington Phase 1a – Core Financials as we move towards replacing the Agency Financial Reporting System in July 2022. Refer to the OneWA program for more information.
 The WD1A subtype is necessary for the integration of HRMS employee records into Workday.
Which employees should have the WD1A subtype?
As part of the implementation of the new subtype, OFM created a new WD1A Communication record for all existing AFRS users confirmed by each agency’s One Washington Agency Support Team lead. Agency HR Offices must work closely with their AST lead to determine if there are additional employees who should have the WD1A subtype. Employees who may need accounts created in Workday during Phase 1a include those with roles related to:
- Budget control
- Simple cost allocation (Title XIX programs)
- Interagency billing
- Vendor management (including the travel/vendor payments)
- Customer management
- Accounts payable
- Accounts receivable
- Fixed assets
What do I need to do?
If you need to add the WD1A subtype to an employee’s record in HRMS, the following Communication (0105) infotype user procedures on the HRMS Support Hub have been updated:
Create New Record
Change Existing Record
Copy and Update Record
If your agency has 30 or more employee records that need to have the WD1A subtype information loaded, OFM will offer the Winshuttle functionality to upload the subtype information. Please reach out to OFM HelpDesk at HeretoHelp@ofm.wa.gov.
The WD1A subtype will soon be available for reporting in Washington Workforce Analytics so that agencies can more easily identify and validate HRMS records.
