The following message is for agencies who use MyPortal for leave processing only. We have discovered a change in how MyPortal reacts with a direct supervisor or manager vacancy in relation to substitutions. Previously, we automated HRMS to delimit the B002 -is Line supervisor and A012- Manages relationships during the PA40 Separation action to create efficiencies for the processor. This auto-delimit process allowed for leave requests in Employee Self Service to roll to the next supervisor/manager in the org structure when a supervisor/manager separated. In ESS, delimiting these relationships was necessary to prevent leave requestors from receiving an error when they attempted to submit leave.
In MyPortal, the auto-delimit of the B002 –is Line supervisor and A012- Manages relationships during separations may result in a supervisor not being able to select a substitute.
What do I need to do? If a supervisor/manager indicates they cannot assign a substitution because the list is empty in MyPortal, ask your Organizational Management Processor to manually reactivate the B002 -is Line supervisor and A012- Manages relationships on the position of the separated supervisor in HRMS. Instructions are below.
Note: This is a temporary work-around until a permanent solution is implemented.
- Within PO13:
- Enter the position number of the separated supervisor.
- Click Enter to populate the position information.
- Click the All button in the Period selection box.
- On the Active tab, select the Relationships radio button.
- Click the Overview button.
- Select the radio button to the left of the A012 – Manages
- Click the Change button.
- Update the Valid To date to 12/31/9999.
- Click the Enter button to validate the information.
- Click the Save button.
- Select the radio button to the left of the B002 – Is Line supervisor
- Click the Change button.
- Update the Valid To date to 12/31/9999.
- Click the Enter button to validate the information.
- Click the Save button.
- Repeat steps for additional B002 – Is Line supervisor relationships if necessary.
