Information Management System to Database 2 Conversion
The Washington State Health and Human Services Coalition organizations are communicating to ensure that our partners, customers and clients have advance notice of the upcoming Automated Client Eligibility System conversion and any impacts to services.
As part of our work to modernize our health and human systems to better provide client services, we are embarking on the ACES stabilization project, also referred to as the Information Management System to Database 2 or IMS to DB2 conversion.
The IMS to DB2 conversion is scheduled to take place beginning 5 p.m. Friday, Aug. 11 through Tuesday, Aug. 15, during which time ACES will be unavailable; therefore, program eligibility services will be unavailable or impacted. Additional systems will also be impacted with reduced functionality during this conversion to include Barcode, eJAS, Washington Healthplanfinder, Washington Connection, and other systems.
This conversion process is a behind-the-scenes change only. Once the conversion is complete, ACES users will not experience any changes to their access, screens, reports, etc., and clients will not notice a difference in how their cases are managed.
Additionally, because this vital system upgrade renders ACES temporarily unavailable, there will be some interruption to services and office closures. The information below identifies health and human service offices and service impacts that will be unavailable Aug. 14-15 due to the ACES system being unavailable. We expect services to be fully restored and offices reopened at 8 a.m. Wednesday, Aug. 16.
Dept. of Social and Health Services:
- Aging and Long-Term Support Administration’s Home and Community Services Financial Staff will be unavailable to process calls.
- Developmental Disabilities Administration Long-Term Care Financial Call Center will be unavailable.
- Economic Services Administration Community Services Offices and Customer Service Contact Center including all services for programs such as cash, food, and medical will be unavailable.
Health Care Authority:
- Medical Eligibility Determination Services (MEDS) phone lines will be unavailable, although the main call center will remain open.
Washington Health Benefit Exchange:
- No office closures although eligibility determination will be unavailable for Qualified Health Plans or MAGI Medicaid.
During the closure, people are encouraged to access available resources in their community via WA 211 (dial 211 or go to the WA211 website).
