Prepare for new online Background Check System

Developmental Disabilities Administration Update

May 16, 2018

Dear Providers,

We are excited to announce the new online Background Check System will go live on June 26, 2018.

What is the new Background Check System?

The new Background Check system offers a user-friendly, online system for submitting background check requests and receiving results. It allows registered users to submit background checks to the Background Check Central Unit, track its progress, and receive the results. For more than 75% of the checks, results will be returned in one business day or less.

How does my agency register for the new Background Check System?

Before June 1, 2018, visit the BCS Pre-Registration website to create a Primary Account Administrator. Each agency must identify one person who will serve as the Primary Account Administrator, who can add more registered users to the account after the Background Check System goes live on June 26, 2018. Providers who do not pre-register before June 1, 2018 may register once the new system goes live, but delays may occur.

You cannot conduct a background check unless you register. Failure to conduct a background check as required under Chapter 388-76, 388-101D, or 388-825 Washington Administrative Code may result in a citation. Pre-registration is strongly recommended.

Providers must use a Secure Access Washington account to access the new Background Check System. Information about creating and updating your Secure Access Washington account will be provided in a future provider bulletin.

How do I prepare for the blackout period?

No background checks will be processed June 21, 2018 through June 25, 2018. To prepare for this blackout period, submit your background check requests ahead of time. Submit background checks expiring in June and early July before June 15, 2018.

Any hand-delivered or mailed background check requests received after June 21, 2018 will be returned to the requesting entity.
